The Executive Assistant to the Bishop of Kootenay (who is currently also the Provincial Metropolitan) is primarily responsible for managing information and communication for the Bishop in both her Diocesan and Provincial responsibilities. This involves keeping accurate and up to date records and files, drafting correspondence, updating and managing the online presence for the Diocese and the Province, scheduling appointments and travel, and acting as the primary communications hub for her ministry.
This position is a full-time maternity leave contract (18 months) with negotiable hours in a small team environment. The ideal candidate will be available to start early October 2023.
Responsibilities:
- Greeting and assisting incoming guests to the Diocesan office (most appointments are online, minimal face-to-face interaction)
- Submitting and tracking applications for marriage officiant licensing
- Managing and updating the websites for the Diocese of Kootenay and the Ecclesiastical Province of BC and Yukon as well as Facebook pages
- Ordering and maintaining office supplies
- Drafting and distributing electronic newsletters (2x month for Diocesan, 4x year Provincial)
- Answering and directing incoming phone calls, processing mail
- Managing and drafting clergy and other special licensing documents
- Overseeing continuing education registration for clergy, Licensed Lay Ministers (LLM), Locally Trained Priests (LTP), volunteers, office staff, etc.
- Special event/meeting planning and registration duties
- Tracking expenses and submitting expense reports
- Updating, implementing and maintaining in office management systems and procedures
- Preparing formal documents and drafting correspondence
- Maintaining electronic records and paper filing systems
- Scheduling, calendar and communications management, travel arrangements
- Managing the criminal records check program and safe church training for clergy and volunteers
- Drafting and distributing meeting agendas and recording meeting minutes
- Responding to both internal and external inquiries and directing questions to the Bishop and other staff as necessary
- Offering operational support to parishes
Qualifications
- Proficiency with Google Workspace, Microsoft Office, Zoom, and Adobe
- Experience with Tithley or Flocknote is an asset
- Capable of managing multiple tasks and projects by setting priorities
- Ability to work both independently and as part of a team
- Ability to manage confidential information
- A natural “go getter” who takes initiative and is extremely organized with attention to detail
- Appreciates and values the aims and objectives of the Anglican Church of Canada
- Demonstrated interpersonal skills with the ability to successfully communicate with diverse demographics
- Excellent written and verbal communication
- A minimum of 3 years experience in a professional office environment preferred
About the Diocese of Kootenay
We are a region, or diocese, of the Anglican Church of Canada. Our Diocesan boundaries cover most of southeastern British Columbia. Our central office is located in Kelowna and is a small team environment designed to serve and support the congregations in our diocese. We provide administrative oversight and support as well as leadership to clergy and the many volunteers who provide leadership in their communities. Our goal is to facilitate the development of vibrant congregations and to support the work of ministry being done throughout our diocese.
About the Ecclesiastical Province of BC and Yukon
The Ecclesiastical Province is a support body for six Dioceses in BC and Yukon. Each Diocese within the province is semi-autonomous and responsible for its own day to day operations. The role of the Archbishop is a ministry of servant leadership to the other bishops of our province.
Salary Range
Salary commensurate with experience. Benefits including pension, extended medical, dental, and LTD are available. Generous paid vacation package. 5 paid sick leave days per annum. Onsite parking provided.
