Title: Executive Assistant
Position reports to: Executive Vice President
Location: Vancouver, BC
Duration: 6 months contract to hire
Summary:
The Executive Assistant will provide a full range of administrative support for several executives within organization.
:
- Other general administrative duties (processing mail, copying, etc.)
- Additional administrative duties as required
- Organize travel arrangements for a variety of executive staff
- Direct and gatekeep phone calls
- Enter and approve any timecards for direct reports
- Draft, edit, distribute and follow-up on documents and correspondence
- Manage document flow, including creating and maintaining files (electronic)
- Schedule, prepare and take notes for meetings across multiple calendars
- Prepare for presentations
- Manage multiple special projects
- Work alongside and coordinate with several departments within the organization
- Extensive meeting coordination including event planning.
- Generate ad hoc reports
- Process and file expense reports, and pre-approve expenses for direct reports
Job Requirements:
- Strong computer skills (Google Suite, Microsoft Word, Excel, Outlook and
- Knowledge of principles and practices of the office organization, planning, records management and general administration
- Excellent communication skills – written and oral (must have a professional and courteous demeanor)
- Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
- 3-5 years' experience as an Executive Assistant or similar
- Exceptionally professional, organized and detail oriented; demonstrated ability to organize time, manage diverse activities and meet deadlines Able to work independently and work cooperatively in a team setting
- Must be flexible – an ability to work well in an environment where needs and priorities are subject to much revision

- Must be a self-starter with a team-player attitude
- Common sense, dependability and attention to detail are required
