SureStep is seeking a highly organized and proactive Executive Assistant / Sales Admin to support our chief executive officer team and sales activities. As the Executive Assistant, you will play a pivotal role in ensuring the smooth and efficient functioning of the CEO office, while also providing essential administrative support to the sales team.
The successful candidate will be a self-motivated, multitasking expert with exceptional communication skills and a keen eye for detail. This is an exciting opportunity to contribute to the success of our growing company by enabling seamless support for our leadership and facilitating sales efforts.
Responsibilities
Executive Support:
- Act as the primary point of contact for the CEO’s office
- Conduct research and gather information as needed to assist the executive team in decision-making processes.
- Prepare meeting materials, presentations, and reports for executive meetings and ensure timely distribution.
- Handle confidential information with the utmost discretion and always maintain a high level of professionalism.
- Provide administrative support to the CEO, including managing calendars, scheduling appointments, and coordinating meetings.
Sales Administration:
- Assist the Sales team throughout the sales cycle by preparing and organizing sales-related documentation, presentations, and reports.
- Track sales activities, maintain accurate sales records, and generate periodic sales reports for management.
- Coordinate with the Sales team to ensure seamless communication, organize sales meetings, and provide administrative support as needed.
- Generate regular sales reports, highlighting key performance indicators (KPIs), and presenting them to the CEO for review and analysis.
- Manage the Salesforce database to ensure accurate and up-to-date information, including client records, sales activities, and communication logs.
- Ensure seamless coordination and communication between internal teams.
- Help manage marketing activities and programs including building/managing an effective and current sales/marketing collateral library
- Assist in preparing and submitting sales proposals, RFI/RFPs, and contracts as required.
Qualifications
- 3-5 years’ experience as an Executive Assistant / Sales Administrator, Sales Support, or related role in the technology industry.
- Bachelor's degree in Business Administration, Marketing, or a related field is preferred.
- Ability to critically review requests and respond appropriately.
- Strong experience with RFP acquisitions and responses is required.Able to procure RFPs from sites such as Merx, Bonfire, Jagger and more.
- Knowledge of IT services and technology solutions is preferred.
- Excellent written and verbal communication skills.
- Strong attention to detail and organizational abilities.
- Ability to work independently and remotely, demonstrating self-discipline and time management skills.
- Full Professional Proficiency in English
- Exceptional Proficiency using MS Office Suite, specifically Work and PowerPoint.
- Full understanding of Sales Processes, deal registrations with SureStep Vendors (IBM, ServiceNow, Diligent, Archer, CUBE and more).
- Exceptional Proficiency with Salesforce. Ability to execute administrative tasks, reporting and configuration in the system.
