We are seeking a highly organized and detail-oriented Administrative/Executive Assistant to support our team with various administrative and clerical tasks. The successful candidate will be responsible for providing administrative support to ensure efficient operation of the mortgage intake process. The Executive Assistant will report to the CEO and work closely with the entire team to ensure the smooth running of the organization.
Responsibilities:
· Organize and maintain electronic and paper files, ensuring all documents are properly labeled and stored
· Create and modify documents, including correspondence, reports, drafts, memos, and emails as needed
· Provide general administrative support, including managing phone calls, emails, and mail, and performing other duties as assigned
· Assist with general office tasks such as photocopying, printing, scanning, and mailing
· Manage the calendar of appointments, meetings, and events, and coordinate with team members to ensure schedules are up to date
· Prepare and distribute meeting agendas, take meeting minutes, and follow up on action items
· Manage confidential and sensitive information with discretion and professionalism
· Perform other related duties as assigned
· Preparation of Loan Commitments, Letter of Directions and Letter of Intents and legal documents
Qualifications:
· Minimum One Year Experience in a Financial Institution, preferably Mortgage Financing
· Proven experience as an executive assistant or similar role, preferably in a fast-paced environment
· Strong organizational and time management skills with the ability to prioritize tasks and work independently
· Excellent communication skills, both verbal and written, with the ability to interact professionally with internal and external investors
· Proficient in Microsoft Office, including Word, Excel, and PowerPoint
· Ability to maintain confidentiality and handle sensitive information with discretion
· Strong attention to detail and accuracy
· Ability to adapt to changing priorities and work well under pressure
· Positive attitude and willingness to learn and grow in the role
