Job Overview
The Executive/Senior Administrative Assistant provides reception and general administrative support to the Department, while ensuring the professional representation of the company.
Job Responsibilities
- Performs other duties as assigned
- Compose and distribute internal staff notifications.
- Schedule and coordinate meetings as requested, including coordinating availability of attendees, booking resources and compiling meeting documents as requested
- Assist with travel and conference arrangements as requested.
- Update reports with information from a wide variety of internal company and external sources
- Provides staff of the department additional coordination and administration on large projects as requested
- Provides assistance to Directors, Managers, and supervisors as needed
- Prepare correspondence and documents for a variety of audiences, including company, and external parties.
- Performs other office functions such as: maintain office supplies, ordering of business cards, general report generation, and taking meetings notes as required
- Organizes and prepares department invoices for payment,
- Coordinate events and conferences
- Maintain guidelines, reports and documents within a records management library
- Property Management Experience is considered an asset
- Diploma/Certificate in related post-secondary education strongly preferred or equivalent combination of education and experience
- Strong communications skills, both oral and written
- 3-5 years of professional administrative experience
- Familiarity in the Property and Casualty/Life insurance industry is considered an asset
- Strong organizational skills including the ability to multi-task and prioritize/re-prioritize
- Strong interpersonal skills with the ability to work with all levels of management and employees, gain credibility, deliver excellent customer service, and foster positive working relationships with internal stakeholders
- Bilingual (French and English) is considered an asset
- Excellent attention to detail
- Advanced MS Office skills, Word, Excel, and PowerPoint
