Employment Type: Contract (3 months) | Full-Time

POSITION OVERVIEW:
This role provides administrative support and help to ensure smooth day-to-day operations of the office with a focus on an enhanced tenant and customer experience.
RESPONSIBILITIES:
- Assist in the onboarding new tenants.
- Perform administrative tasks that including answering phones, mail deliveries and setting up meetings.
- Collection Certificates of Insurance and Monthly Tenant Sales Reports and entry into JDE.
- Assist with tenant events.
- Drafting and distribution of all Tenant communication.
- Greet tenants and visitors. Be the first point of contact for customer and tenant inquiries.
- Update the site Contact Information Database for all Tenants. Ensuring that the information is kept current and accurate.
- General filing and maintenance of files.
- Administration of access cards for the portfolio tenants.
- Other duties / projects as required.
- Monitor and track WO via RioCan Connect to ensure set service levels are met.
- Assist the Property Administration department with the collection and depositing of rent cheques.
- Coordination of tenant move ins and outs; use of elevators, and loading dock.
QUALIFICATIONS:
- Minimum 1 year experience in an administrative role
- Detail-oriented, Strong Initiative, Accountability and Team Oriented
- Strong Customer Service skills
- Able to work both independently and as part of a team
- Proven organizational skills and ability to meet deadlines
- Proficient in Word, Excel and Outlook
- JDE experience is an asset
- Excellent verbal and written communication skills
