Location: Calgary or Vancouver

The Project Coordinator (PC) is primarily responsible for successfully managing and delivering a range of small-to-medium application projects/initiatives from inception to completion and assisting Senior Project Managers and Program Managers with their PM duties! The PC is encouraged to take direction from the Project or Program Managers or Project Management Office (“PMO”) depending upon project scope.

The PC is expected to contribute to the delivery of all assigned projects on time, on budget, on plan, and with a high level of quality. While there will be no staff directly reporting into this role, the PC will be required to manage resources, including contractor resources, assigned to the respective projects. The PC works with the TDS resource managers to resolve conflicting demands for resources.

Responsibilities

• Identifying, resolving and raising any issues and risks as and when required;
• Overseeing the development and completion of required Test Plans to ensure high quality results; this includes coordinating large-scale User Acceptance Testing with business users across the Enterprise in gaining acceptance sign-off;
• Coordinating meetings, workshops and logistics for project and program purposes
• Verifying project process compliance for Corporate Applications SOX and related audits.
• Working with TDS resource managers to request and obtain required resources to meet results; including procurement of project resources.
• Monitoring compliance with the Project/Application Lifecycle guidelines which are based on the current PMO policies and framework as defined in the PMO and ALM (Application Life-Cycle Management) sites;
• Overseeing the team members working on the project; this includes providing staff performance feedback
• Ensures all relevant documents and artifacts are stored in the appropriate project folders (SharePoint) as per the PMO framework and are readily available for scrutiny by the PMO, TDS management, and Internal Audit;
• Coordinating and support the preparation and execution of Change Management plans
• Ensuring all Application projects have been properly authorized for execution at each stage of the lifecycle including Architectural and Security reviews and approval as outlined in the TDS Project Management Standard
• Supporting the execution of all phases of the projects and alerting managers to any observed behaviours that would jeopardize safety in any way or damage assets;
• Facilitating ad-hoc project audits to confirm they are on track with documentation, budget, schedule and scope to mitigate potential risks to compliance or project success;
• Escalation of issues and risks to appropriate business and technical collaborators to ensure timely resolution to project impediments.
• Supports implementation of Change Management objectives (including planning, definitions, acceptance by sponsors and execution) to mitigate any potential adoption-related risks identified.
• Providing transparency into project health through published schedules, regular status reporting, and current budget and forecasts;
• Provide and maintain detailed Project Gantt charts, Timelines (milestones), dependencies with other Project schedules, Scrums and Backlogs, User stories.
• Monitoring project team timesheet reporting to ensure proper project accounting;
• Validates project scope with key collaborators and positions each project for the greatest likelihood of achieving its business objectives.
• Actively monitoring all funds spent in relation to the project, this includes maintaining a detailed current view of budget, actuals and forecast numbers;
• Detailing any scope changes impacting schedule, budget or quality;

Qualifications

• Nice to haves: Experience as a Scrum Master, with Agile tools (Azure DevOps), Spanish Speaking, and working in very large IT Program Teams (ex: ERP deployments).
• Skilled in the use of Microsoft Office tools, including Word, PowerPoint, Excel, and possibly SharePoint and PowerBI.
• Good appreciation of Agile ways of working and terminology
• Good understanding of project management financials, timesheets, cost reporting, etc.
• Nice to haves: Experience with Project Management tools such as Microsoft Project Online, and in the Mining or Natural Resources industry.
• Bachelor’s degree or equivalent professional experience
• PMP and Agile/Scrum Master certification (preferred)
• Some experience in Communications and Organizational Change Management
• 3-5 years’ experience working on IT projects or IT programs
• 3+ years’ experience with Project Management principles and tools
• Strong problem-solving skills proven in previous roles
• Excellent verbal and written communication skills
