We are looking for a collaborative and analytical Project and Contracts Coordinator. The Coordinator will support the Lead Architect in project scheduling, timesheet reporting, timeline management, meeting coordination, and assembly of record for meetings on a key project for the firm. They will also be responsible to coordinate, assemble, and track contracts with clients and consultants for the firm’s other projects.
Working closely with our CFO and Lead Architect, they will coordinate document controls with the client, produce project tracking documents (including daily/weekly/monthly staff reporting), maintain and track project schedule (including deliverables and deadlines), and assemble presentations.
Your day to day tasks may also include:
- Fostering cross-team collaboration to help project team members complete project tasks and produce deliverables
- Executing project management administrative and bookkeeping tasks such as weekly timesheet reporting, budget to actual comparisons of project budgets, and margins analysis of staff members on the project
- Monitoring staff utilization rates in comparison to project budgets and weekly timesheet reporting.
- Attending meetings, maintaining, and distributing meeting notes
- Assisting in the development of project management documents such as budgets, schedules, scope statements, and project plans
Your skills, experience and qualifications:
- Post-secondary education in commerce, business administration, management or related field
- Change management skills
- Strong data management skills
- Previous experience with an architectural firm, or in a similar role would be a strong asset
- Problem-solving skills
- Excellent communication skills, both written and verbal
- Project management certifications would be an asset, such as Certified Associate in Project Management (CAPM); or, Project Management Professional (PMP)
- Organizational and time-management skills
- Fluent in Microsoft Excel
- Working knowledge with project management software and management information systems
