: Operations/Administrative Assistant


Position Overview:

Katigbak Technologies is seeking a highly organized and detail-oriented individual to join our team as an Operations/Administrative Assistant. In this role, you will play a crucial part in ensuring the smooth day-to-day operations of our organization. You will be responsible for a wide range of operational tasks, assisting with training and onboarding new team members, maintaining client relationships, contributing to process improvement, and providing administrative support. Responsibilities:

  1. Assist with Various Operational Tasks: Support the operations team in executing daily tasks, including but not limited to coordinating schedules, managing correspondence, organizing meetings, and maintaining files and records.
  2. Training and Onboarding: Collaborate with the HR department to facilitate the training and onboarding process for new team members. Provide guidance, resources, and assistance to ensure a smooth transition into their roles.
  3. Client Relationship Management: Work closely with account managers to meet with clients, both independently and alongside account managers, to provide updates, address concerns, and maintain strong client relationships.
  4. Second-in-Command: Act as the second-in-command in the absence of management, handling operational matters, making decisions within the prescribed authority, and ensuring continuity in daily operations.
  5. Process Improvement: Actively contribute to the improvement of business processes by identifying inefficiencies, suggesting innovative solutions, and implementing changes to enhance overall efficiency and effectiveness.
  6. Analytics and Reporting: Measure and enhance analytics to monitor key performance indicators (KPIs) and provide insights to management. Generate reports, analyze data, and present findings to support strategic decision-making.
  7. Administrative Support: Perform a variety of administrative tasks such as managing calendars, coordinating travel arrangements, processing expense reports, and preparing documents and presentations.
  8. Content Creation and Video Recording: Assist in content creation efforts, which may include writing, editing, and proofreading documents, articles, or marketing materials. Support onsite video recording activities as needed.

Requirements:

  1. Proven experience as an operations/administrative assistant or in a similar role.
  2. Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  3. Strong attention to detail and accuracy in completing tasks.
  4. Excellent verbal and written communication skills.
  5. Proficient in using office productivity tools such as Microsoft Office Suite or Google Workspace.
  6. Ability to work independently and collaboratively in a team-oriented environment.
  7. Strong problem-solving skills and ability to think critically.
  8. Knowledge of analytics and reporting tools is a plus.
  9. Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
  10. Bachelor's degree in business administration or a related field is preferred, but not required.
