Alberta University of the Arts (AUArts)is looking for aHuman Resources & Payroll Coordinatorto provide client services in the areas of general HR inquiries, employee records, onboarding, casual hiring and assists with recruitment, compensation, and labour relations initiatives.

This is a permanent full-time position starting September 2023. Hours of work are 35 hours per week.

The Opportunity

Reporting to the Manager, Human Resources, the HR & Payroll Coordinator will have accountability for managing processes such as the time and attendance administration, employee programs, maintaining HR metrics and representing Human Resources on committees, as assigned.

The HR & Payroll Coordinator assists with hourly and salary payroll administration and reporting.

As a member of the Human Resources team, this role will participate in, and take various roles in process improvements, projects, and special initiatives such as supporting research, analysis, executive recruitment and/or bargaining, as well as acting as a champion for the integration of equity, diversity, and inclusion initiatives.

Key Responsibilities:

HR Client Services

  • Provide initial, front-line support by answering phone & email inquiries, providing information to internal and external clients, and referring to HR team members for further consultation.
  • Assist team members in recruitment, including job screening, reference checks, document review, completing onboarding tasks and records management.
  • Coordinate all casual hiring, including consultation with management and selection.

HR Program Administration

  • Represent HR on various committees, advising of recommendations and improvements.
  • Administer time and labour for all employee leaves and programs, such as general illness, flex time, vacation and overtime banks, including data entry, monitoring and reporting risks and trends.
  • Support employee programs such as training, recognitions, wellness and social programs to support employee engagement, maintaining records and updating process documentation.

Payroll & Benefit Support

  • Assist with benefits and pension administration which includes employee profile set-up and maintenance, report generation, and leave of absence tracking.
  • Provide payroll backup duties and assistance to produce a semi-monthly payroll as required.
  • Assist with semi-monthly payroll administration duties such as processing timesheets, producing pay period reports, and remittance notifications.

Projects & Initiatives

  • Assist with employee relations and process reviews, provide feedback and recommendations.
  • Lead internal unit process improvement projects under the direction of management.
  • Participate in HR projects as team member, providing support, benchmarking, document review and other duties as assigned.

Qualifications:

The following qualifications have been determined to promote likelihood of

success in the role. In alignment with the principles of inclusion, individuals with an alternative equivalent qualification may be considered.

  • Demonstrated experience in payroll and salary administration is preferred
  • Proficient in Office 365
  • Demonstrated experience in building collaborative relationships
  • Demonstrated experience in providing client service
  • Knowledge of relevant legislation and human resources best practices
  • Degree in Human Resources, Management or related field
  • 2-3 years experience in Human Resources, payroll, or administrative role
  • Demonstrated experience in HRIS management is an asset (Ceridian/Dayforce preferred)

The salary range is established to be between$50,000 - $57,000CAD per annum and will be negotiated based on the candidate’s skills and experience
