Reporting to the Billing Manager, the Billing Coordinator is responsible for assisting in all phases of client billing, including prebill review, bill preparation, eBill submissions, ad hoc reporting and issue resolution. This is a detail-oriented position with an emphasis on internal / external client service, time management, technical tasks and interpersonal skills.
Major Responsibilities:
  • Maintain good relations with internal and external clients.
  • Deal with escalation of billing disputes and act as first point of contact before escalation.
  • Submit and coordinate eBills.
  • Participate in the implementation and testing of systems upgrades and billing software.
  • Process prebills received via Prebill Viewer and handle monthly billings for approximately 20 to 25 Billing Partners.
  • Active involvement in process improvements including innovation, finding more efficient ways to improve the overall billing process and customer service.
  • Responsible to drive results, bill WIP and resolve any issues.
  • Assist with special projects such as task-based billing and staff training.
  • Follow up with the Billing Manager, Partners and clients as appropriate regarding WIP and billing related issues.
  • Maintain accurate client and matter information records with regards to billing.
  • Draft and finalize client invoices for distribution to clients.
  • Work with legal assistants and lawyers to drive billing of WIP.
  • Oversee and coordinate month end billing efforts.
Position Requirements:
Education and Experience
This position requires a college diploma and minimum of three years of billing experience, preferably at a professional services firm or a law firm. An equivalent combination of education, training, and experience may be acceptable.
Knowledge and Skills
  • Experience with eBillingHub, Aderant, Prebill Viewer and MS Office software products is an asset.
  • Excellent communication skills (both oral and written), attentive and ability to learn on the job, interpersonal skills.
  • Positive attitude, patience, resilience and a sense of humour.
  • Attention to detail, organization and time management skills along with the ability to balance daily work.
  • A billing compliance and procedural mindset is required.
