MAJOR RESPONSIBILITIES
- To provide strategic political support to the CUPE Local 79 President with various administrative and organizational requirements.
PRIMARY DUTIES AND RESPONSIBILITIES
- Serve as a liaison between the President and all internal and external stakeholders including but not limited to Labour Affiliates, employer groups, members, public and media. This includes all manner of communication on behalf of the President and answering a variety of questions with tact and diplomacy.
- Helps to coordinate the work of the different groups and provides administrative support for governance meetings (e.g., attend meetings, taking meeting notes, draft minutes, summaries and correspondence).
- Maintain paper and electronic filing systems.
- Conducts research when necessary and/or liaises with the research consultant to create reports on various topics based on the Local’s needs.
- Work directly with the President to support all aspects of their daily work routine and provide daily briefings.
- Schedule internal and external meetings; assist in the preparation and distribution of meeting agendas and materials.
- Provide coordination, monitoring, and communication of projects/campaigns/political activism.
- Maintain the President’s calendar, including scheduling meetings, appointments, speaking engagements, and liaise with the Treasurer on travel arrangements.
- Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate.
- Maintaining a high degree of discretion and confidentiality.
- Prepare, reconcile, and submit expense claims.
- Coordinate work with other Executive Committee, CUPE National staff and Local 79 staff as needed.
- Assist the President in the development of presentations, deputations, speeches, special reports and press conferences.
- Compose and prepare letters relating to routine correspondence for the President’s signature.
- Ensures the confidentiality of sensitive documents and correspondence.
- Determine priority of matters of attention for the President; exercise discretion in committing time and evaluating needs and ensuring timely and appropriate follow-up.
- Other additional duties as required from time to time including supporting other Executive Committee.
KEY QUALIFICATIONS
- Ability to learn and adapt quickly in a fast-paced environment with limited supervision.
- Experienced in using various software programs and office equipment.
- 3-5 years work experience that is commensurate with that of an Executive Assistant’s duties within a political and/or labour environment.
- Exceptional attention to detail, organizational and time management skills with ability to establish priorities, deadlines and work demands.
- Excellent administrative/clerical and proofreading skills.
- Extensive knowledge of the Canadian labour movement.
- Ability to conduct research and create reports or presentations.
- Extensive knowledge of the Canadian political landscape at all levels of government.
- Excellent interpersonal and communication skills (written and verbal).
- Ability to deal with sensitive information with discretion.
