Role Profile

We are currently seeking a professional Office Manager/Group Executive Assistant to join our growing team in our downtown office. The Office Manager/Group EA is the face of Serefin’s downtown Toronto office.

Your role is to create and maintain an environment where employees enjoy working and where clients are welcomed. The ideal candidate is professional, confident, organized, ambitious, and is passionate about influencing and representing the Serefin’s brand and culture. They will maintain a professional presence in the office and support the executive leadership team as needed. The Office Manager/Group Executive Assistant will keep the Toronto office running smoothly day-to-day and work to optimize employee experience, productivity and culture.

This is an exciting experience for someone who is eager to roll up their sleeves and evolve the role as Serefin grows.



Scope of Role

• Greet persons entering the office, answer, direct calls, and relay messages.

• Support executive management calendars, travel, and expenses.

• Help plan and execute office wide socials, and team building events.

• Maintain office organization and anticipate needs, recommend creative and efficient solutions.

• Oversee equipment for conference rooms and pod areas, including video conference equipment and TVs.

• Assist with daily tasks, special projects, and presentations as necessary.

• Proactively manage the office environment, executing repairs as needed.

• Order and manage supplies.

• File and maintain office records and take minutes at staff meetings.

• Work with office vendors for maintenance and ordering.

• Maintain communication with building management.

• Maintain communication with building security to manage security passes.

• Other duties as assigned as the role progresses.



Required Experience

  • 2-3 years of experience supporting an executive level.
  • Strong knowledge and understanding of the Microsoft Office suite.
  • Ability to work under pressure and manage priorities.
  • Proactive, communicative, and able to work with minimal supervision.
  • Excellent customer service with a positive attitude.
  • Experience in a client facing, front office role.
  • Exceptional time management and organizational skills with acute attention to detail.
  • Passionate about connecting with others and builds relationships with ease and authenticity.
  • Able to handle multiple tasks simultaneously, and to prioritize effectively and respond to last-minute requests.
  • Excellent verbal and written communication skills.
  • You are driven to be the go-to person as a resource for information, assistance and excited to help build a fun and collaborative office culture.
