Full time Receptionist / Administration Assistant
Job role includes but not limited too;
· Enthusiastically greet visitors & staff.
· Answering phone calls, transferring calls to other employees, taking messages, and occasionally placing orders
· Direct visitors to the appropriate person and office.
· Manage all office boardrooms, kitchen, & bathroom cleanliness with a daily. walkthrough and before and after every meeting to ensure they are presented in the best manner.
· Perform other clerical duties such as filing, photocopying, and transcribing.
· Manage and organize meeting requests, book boardrooms.
· Process Invoices that are received via email and mail from vendors
· Call vendors for pickup or mailout
· Maintain the digital database
· Occasional organizing of cabinets or creating new folders as needed
· Shopping for supplies or items as requested (ex. Coffee)
· Supply ordering through Staples
· Receive, sort and process daily mail.
· Accounting assistant duties
You need to be able too;
· Work in a fast paced, deadline-oriented environment
· Ability to work in a team as well as individually
· Expertise with Excel, Word, Office 365, Outlook, and Sage 100
· Attention to detail
· Be open to new ideas and flexible
· Creative and contribute to the team with your own ideas
· Ability to manage multiple workflows and tasks concurrently.
· Prioritize workflows and deadlines
· Manage deadlines for completion of assigned tasks.
· Adapt to changing job requirements and direction from multiple sources.
· Communicate professionally through verbal and written methods.
You also need to have;
· Minimum of 1 year experience
· Strong communication and interpersonal skills
· You need to have a professional attitude with excellent organizational, communication, prioritization, multi-tasking, time management, problem-solving skills.
· A second language is not required.
· You should have high standards for your work.
· You are strongly motivated to learn, eager to meet (or exceed) basic requirements, have good tolerance to stress/pressure
· You embrace and manage change, continually improve processes and maintain confidentiality.
· You have a positive nature.
