MPE, an Englobe company is seeking an Administrative Assistant/Receptionist  to join our team in our Lethbridge office. The Administrative Assistant/Receptionist role is a key position in our firm providing the first point of contact for our clients and staff, therefore requires a positive, cheerful and enthusiastic individual.  This role requires the successful candidate to work independently on day-to-day tasks, as well as provide effective support to the engineering team and other clerical staff.  This position requires a versatile individual who thrives on a variety of assignments and able to multi-task and handle shifting priorities with ease.

 

An important function of the role entails document processing, proofreading, editing, photocopying, compiling, binding, and assembling specification and drawing packages.  Another key function of the position is to ensure that company standards are adhered to on a wide variety of documents including correspondence, presentations, reports and specifications. Therefore, an eye for detail and excellent proofreading skills are essential.

As an Administrative Assistant/Receptionist, you will work in collaboration with the Administrative Support Team.

 

Your main responsibilities will be: 

 

  • Apply and promote Englobe’s health and safety rules
  • Other duties as assigned.
  • Scheduling boardroom bookings, setting up and cleaning boardrooms.
  • Managing inventory, ordering, and organizing various supplies.
  • Arranging catering.
  •  
  • Administering all incoming/outgoing mail and couriers.
  • Answering, filtering and directing incoming calls to appropriate person.
  • Greeting clients, contractors, vendors, couriers and other delivery personnel in a warm and professional manner.

 

 

  • Exceptional time management and strong organizational skills.
  • Highly competent in Microsoft Office Products (Word, PowerPoint, Publisher, Outlook).
  • Adaptable and able to work with multiple personalities within a collective team environment.
  • Proficient computer and typing skills.
  • High School diploma.
  • Excellent command of the English language, both oral and written.
  • Discretion, diplomacy and confidentiality displayed at all times.
  • Minimum two years working in a professional setting as an admin assistant/receptionist.
  • A post-secondary diploma in Office Administration will be given preference.
