About your Role

We are bringing on an Administration Assistant to oversee the schedule and upkeep of our Kanata office and to support our departments, specifically Default & Discharges with administrative tasks. This is an onsite role, in the Kanata office 5 days a week. This role could eventually lead to an upward movement into other departments.

What you’ll work on:

-Be seen as the customer service representative for the organization

-As required, handles incoming calls directing as appropriate to internal recipients.

-Fielding client inquiries via phone, email, and regular post mail such as discharge requests, penalty inquiries, statement requests, etc.

-Fosters positive relationships with key third party partners including brokers, realtors, appraiser, building inspectors, legal firms, and trustees.

-Preparation of quarterly and annual statements for our clients both recurring and on their request.

-Preparation of expense books (internal)

-Spearheading and co-ordinating office related scheduling, functions, and appointments

-Assisting various departments with a variety of projects (reconciling accounts, assisting with tax reporting and filing, etc.)

-Assist senior management with ad-hoc requests, special projects and new initiatives as required.

-Manages the office with respect to ensuring that all supplies are ordered in a timely basis and responsible for overall office environment.

What you should have:

-A common-sense approach to decision making

-The ability to determine when to take the right risks

-You are not afraid to make mistakes and learn from them

-Strong interpersonal and communication skills

-Ability to work autonomously and collaboratively

-Proficiency with the Microsoft Office suite of products

-Excellent legal and financial acumen and broad knowledge of legal, mortgage and investments would be a bonus!
