Reports To: HR Director
Job Summary:
We are seeking a detail-oriented and organized HR Administrator to join our Human Resources team. The HR Administrator will play a vital role in supporting various HR functions, ensuring smooth and efficient operations within the department. The successful candidate will handle administrative tasks, maintain HR records, assist in recruitment processes, and contribute to creating a positive and productive work environment.
Key Responsibilities:
1. HR Operations:
- Assist in maintaining and updating HR records, including employee information, benefits, and attendance.
- Prepare HR-related documents, such as employment contracts, offer letters, and other correspondence.
- Respond to employee inquiries and provide basic information about HR policies and procedures.
- Coordinate HR projects and initiatives as directed by the HR Manager.
2. Recruitment Support:
- Assist in posting job openings on various job boards and company websites.
- Schedule interviews and communicate with candidates to ensure a smooth recruitment process.
- Assist in conducting reference checks and background screenings for potential hires.
- Prepare and send new hire welcome packages and ensure all required paperwork is completed.
3. Employee Onboarding and Offboarding:
- Coordinate and facilitate the onboarding process for new employees, ensuring a seamless transition.
- Prepare and maintain onboarding materials, training schedules, and orientation presentations.
- Process employee terminations, including conducting exit interviews and updating HR records.
4. Benefits Administration:
- Assist in administering employee benefits programs, including health insurance, retirement plans, and other employee perks.
- Provide employees with information about benefits, enrollment processes, and changes.
5. Employee Relations:
- Assist in creating a positive work environment by supporting employee engagement initiatives and activities.
- Maintain open communication with employees, addressing concerns and escalating issues as needed.
- Collaborate with the HR team to organize employee recognition programs and events.
6. Data Management and Reporting:
- Compile and analyze HR data, generating reports on key HR metrics as needed.
- Ensure accurate and up-to-date HR records are maintained in compliance with legal requirements.
7. General Administrative Support:
- Assist in scheduling HR-related meetings, trainings, and workshops.
- Manage HR-related documentation, including filing and organizing both electronic and physical records.
- Provide administrative support to the HR team, including calendar management and travel arrangements.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or related field (preferred).
- Proven experience (minimum 5 years) in an administrative or HR support role.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HR software systems.
- Knowledge of HR practices, laws, and regulations is a plus.
- High level of confidentiality and professionalism.
