THE POSITION:
The successful candidate will provide exceptional executive level administrative support, clerical office and business operations support to our Canadian Advisory Services and Management Consulting team.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Our employees are tasked with delivering excellent business results through the efforts of their teams. These results are achieved by:
- Assist with onboarding and offboarding of employees
- Communicate directly with clients and vendors to support operational processes
- Administrative support for the General Manager and select Leadership Team Members
- Sales Force (SFDC) opportunity management including entry and local report management
- Coordinate operational projects and administrative tasks between service lines
- Liaise with Head Office and global affiliates
- Assist with onboarding and offboarding of employees
- Structure and design presentations for internal teams and external clients
- Vendor management including contract management
- All other duties as assigned
- Manage day-to-day internal office operations including scheduling, meeting management, budget, records, facilitate team communication and follow-ups, and space management
- Use finance and accounting enterprise platform (D365) for expense management, expense reporting, purchase order development, and payment to vendors
- Support the effective monitoring of company KPIs, analyzeand consolidate data from systems into reports
- Event planning and travel coordination

EXPECTATIONS OF THE JOB:
- Overtime and/or weekend/evening hours may be required to meet project deadlines
- Travel: Some travel may be required for meeting with clients, stakeholders, or off-site personnel/management
- Hours: Monday to Friday, 37.5 hours per week

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES:
The requirements listed below are representative of the experience, education, knowledge, skill and/or abilities required.
- At least three years executive level administrative work experience assisting and advising within an office environment- healthcare related or consulting fields is preferred not mandatory
- Experience with Microsoft Dynamics, Salesforce, or other CRM and Project Management business application is a definite asset
- Ability to operate independently with a high degree of discretion and diplomacy
- Proven experience and proficiency with Microsoft Office applications, including PowerPoint, Words, and Excel.
- Comfortable taking the initiative whilst working with little supervision, along with the decision making skills to make strong judgement calls
- Strong organizational skills
- Knowledge in basic accounting or book-keeping is an asset
- Strong project management skills
- Demonstrated flexibility and effective problem solving
- The role can be fulfilled remotely but may occasionally require onsite in-office attendance given the nature of the role
- Excellent verbal and written communication skills
- Experience in the planning, execution, and follow-up of key events and presentations
PHYSICAL/MENTAL DEMANDS AND WORKING ENVIRONMENT:

Office: While performing the essential functions of this job the employee is frequently required to reach, grasp, stand and/or sit for long periods of time (up to 90% of the shift), walk, talk and hear; occasionally required to lift and/or move up to 25 pounds. The noise level in the work environment is usually moderately quiet, with frequent interruptions and multiple demands.
