The Operations Coordinator is a senior staff member of the Abbey Retreat Centre. Reporting to the Executive Director, the Operations Coordinator supports the vision and mission of Abbey Retreat Centre as we create healing spaces and community for people affected by cancer.
The Operations Coordinator is responsible for overseeing operational activities including finances, human resources, facility and office management.
The Operations Coordinator is people-centered and is a key member of a collaborative staff team. The Operations Coordinator is passionate about being part of a caring, growing, and creative organization.
The Operations Coordinator works closely with the Executive Director to ensure the processes, practices, systems and tools within Operations are aligned with Abbey Retreat Centre’s strategic priorities.
This position is subject to the policies of the Abbey Retreat Centre.
Qualifications
- Relevant experience
- Experience with not-for-profit financial management
- Knowledge of payroll and Human Resource compliance processes
- Familiarity with QuickBooks
Responsibilities
Financial Management – 40%
- Creates and manages the annual operating and capital budgets, with support from the Executive Director and Board Treasurer
- Oversees day-to-day bookkeeping including disbursements, receipts, payroll, remittances, etc
- Oversees the issuing of charitable receipts in accordance with charities regulations
- Prepares financial reports for the Board of Directors and Committees in consultation with the Board Treasurer
- Oversees the accounting and timely reporting of grant finances
- Oversees the year-end audit and/or review process, in consultation with the Board Treasurer
Human Resources – 30%
- Ensures that HR practices for staff and volunteers, (recruiting, onboarding, hiring, development, exits) are aligned with organizational vision and mission
- Creates and implements staff and volunteer wellness, appreciation and recognition policies and practices in consultation with the Executive Director
- Manages part-time Bookkeeper
- Manages corporate Human Resources including employment contracts, employment records, etc.
- Coordinates annual review of HR policies including presentation to the Board of Directors for review and approval
Facility Management -15%
- Administers the rental of the facility, including bookings, invoicing, renter communication, and coordination of cleaning, groundskeeping and hospitality
- Ensures regular review and updating of rental policies and rates
- Ensures the facility is well-tended including overseeing regular maintenance of equipment (water filters, furnace, generator, etc.) and upkeep of grounds (lawn mowing, flower beds, boat docks, etc.)
- Oversees facility’s safety, maintenance and repair including deck, walkways, and garage
Administration – 15%
- Oversees the day-to-day management of the office (supplies, vendors, office calendar, etc.)
- Oversees management of equipment and systems including telephone and information technology
- Manages ARC insurance needs
