WHO YOU ARE:
·A seasoned Operations Manager with experience supporting the daily activities of a vibrant fast paced organization ensuring operations run smoothly and efficiently.
·A critical thinker with strong problem-solving skills, that is looking for the next challenge to help guide a formidable operations support group with a ton of potential.
·A junior leader that is most comfortable in the trenches and is willing to “roll up their sleeves”.
WHAT YOU WILL DO:
·Provide oversight and guidance to the Operations Coordinator.
·Support the team in the generation and tracking of Estimates, Purchase / Change Orders, AR / AP / Invoicing and associated discrepancy resolutions.
·Provide logistical support for the team including managing project equipment and related safety inventory with approved suppliers on behalf of the company.
·Maintain critical aspects of HR including overseeing new employee onboarding, including documents for hiring / termination, coordinating with other operational team members to ensure accurate and timely inclusion in the Admin Site and associated pay systems.
·Solving day-to-day tactical operations situations as they emerge.
·Administrative oversight of contracts with clients, vendors and subcontractors.
·Responsible for maintaining and managing all aspects of the office including equipment and supplies while ensuring the space remains tidy and in good standing at all times.
·Interface with other departments and sister companies as required with shared duties including (training schedules, boardroom usage, marketing newsletters, blogs, posts and employee / client events).
WHAT YOU BRING:
·4-6+ years of progressive experience as reception, front desk, or office coordinator with some supervisory experience.
·Excellent knowledge of MS Office and office management software with particular strong competencies with Excel.
·Outstanding communication, interpersonal abilities, and office management skills.
·Excellent organizational, multitasking, and relationship-building skills.
·Ability to work well under pressure and prioritize action items.
·Familiarity with office management procedures and basic accounting principles including invoicing.
·Strong attention to detail.
·Bachelor's degree or equivalent.
·Experience in the construction / occupational health & safety / industrial services industry would be an asset but not required.
