Metrolinx is connecting communities across the Greater Golden Horseshoe. Metrolinx operates GO Transit and UP Express, as well as the PRESTO fare payment system. We are also building new and improved rapid transit, including GO Expansion, Light Rail Transit routes, and major expansions to Toronto’s subway system, to get people where they need to go, better, faster and easier. Metrolinx is an agency of the Government of Ontario.

The Advisor, Event Management is responsible for planning and executing events to celebrate transit progress and enhance Metrolinx's brand and reputation. Reporting to the Senior Manager, Strategic Communications, the Advisor will collaborate closely with both internal stakeholders and external partners to support and deliver successful and impactful events for our audiences.
The advisor will be a critical link between Metrolinx and external partners in event and planning support, and act as a central window for several groups within the organization, including CEO’s office, senior leadership and capital and operations teams.
This position will be responsible for all aspects of event planning, from inception to preparation to execution, and need to ensure appropriate protocols are followed with respect to active construction sites. They will advise on various items including event logistics, senior leadership representation, and coordinate material preparation prior to each event. They will also be responsible for evaluating the success of events and support long-term strategic planning at the organization by maintaining oversight of all planned and potential event opportunities..
What will I be doing?
- Develop post-event summaries and reports.
- Work in collaboration with Communications teams for strategic direction and other internal partners for access to facilities, assets and logistical support.
- Support the logistical planning, management and execution of events on behalf of Metrolinx, including high-profile press conferences, tours, and site visits, to mark major transit milestones and achievements.
- Provide strategic and logistical planning advice to management team, as well as a variety of internal and external stakeholders/partners.
- Act as a point-person for Metrolinx, liaising closely with external partners, vendors and project partners, as well as Metrolinx Executive Team and CEO's office, and advise on required materials in preparation for event. This could include coordinating development of CEO's Event Package with respective communications team, drafting remarks, working with Marketing on required collateral, etc.
- Lead coordination from pre-planning through to post-event stage, including coordination of logistical elements from venue selection, site access, site visits, securing assets, run of show, and day-of execution.
- Ensure enterprise-wide oversight, coordination and tracking of all planned events.
- Proactively contribute to the identification and development of issues and assists to propose resolution strategies and process improvements.
What skills & qualifications do I need?
- Minimum 4 years’ experience in event management/planning or similar roles.
- Completion of degree in Communications, Public Relations, Event Management/Planning, or a related discipline – or a combination of education, training and experience deemed equivalent.
- Strong sense of political acuity, with ability to identify opportunities and anticipate issues.
- Strong relationship management skills enabling ability to work effectively with cross-functional teams.
- Interpersonal, oral/written/presentation communications skills to articulate and present advice, options and recommendations to senior management, executives and other colleagues.
- Strong time management and organization skills to manage own workload, meet multiple/concurrent deadlines, while possessing ability to pivot quickly in a changing environment.
- Comfort liaising directly with CEO, senior management and other officials (internal and external), demonstrating strong professionalism.
- Valid Ontario Driver's license is required.
- Position is required to be available outside of regular office hours to maintain business relationships and address issues as they arise.
