- Co-ordinate domestic and international travel arrangements; ensure travel is within policy
- 4 – 6 years experience providing administrative support in an environment with a broad variety of administrative and clerical functions, including customer service, records management, committee work and report generation.
- Prepare agenda, invitation and distribute meeting packages
- Proven ability to take initiative and work independently in a high performing, deadline driven environment
- Excellent communication skills; communicate in a variety of mediums;
- Minimum two years of Financial Services experience;
- Plan & organize internal meetings, special functions and events including booking facilities and catering
- Timely submission of expense reports and account tracking
- College Diploma in a relevant discipline combined with progressively responsible administrative experience or a combination of education, training and experience deemed to be equivalent;
- Perform daily administrative functions for the Portfolio Managers and Analysts team
- Demonstrable track record of supporting fast-paced teams and championing a culture of service excellence for internal and external clients.
- Prioritize and redirect incoming mail, articles and reports in timely manner
- Accurately prepare portfolio reports; update spreadsheets and models with current market data for Portfolio Managers and Analysts team, using Excel, Simcorp, Charles River, Internet, Bloomberg or other related industry applications;
- Provide backup coverage for admin team members
- Expert level PC skills (MS Office: Excel, Word, Outlook, PowerPoint; Adobe Acrobat, web browsers) with an ability to become familiar with firm-specific programs and software
- Calendar management: co-ordinate meetings and conferences, update schedules, monitor and assist with virtual meetings
- IFIC and /or CSC certification strongly preferred;
- Communicate and collaborate with other departments to complete projects and update reporting models
- Gather research/data for presentation material, company visits, conferences, and marketing trips
