Our client, a boutique financial services company, is looking for a highly service-oriented and organized Senior Administrative Assistant to support the team. Location: Vancouver, BC
Responsibilities:
- Provide calendar management for the team
- Manage and maintain client information in the firm's database.
- Help coordinate client appreciation initiatives
- Schedule and manage internal and external meetings and events
- Respond to client inquiries and resolve any issues that may arise in a timely and professional manner.
- Contribute to company culture by planning and coordinating team and external events
- Maintain a clean and organized reception area, conference rooms, and kitchen.
- Prepare and distribute internal and external correspondence and documents.
- Assist with other duties as assigned by the management team.
- Assist the CEO with monthly visa reconciliation
- Assist with scheduling and managing appointments, meetings, and conferences.
- Coordinate travel, appointments, and schedules for the team
- Provide office administration by answering phone calls, filing, greeting visitors and receiving mail
Requirements:
- Strong proficiency in the Microsoft Office Suite
- Strong time-management skills and the ability to prioritize tasks
- Excellent attention to detail and organizational skills
- 3-5 years’ experience in an administrative or executive assistant support role in a fast-paced, entrepreneurial office environment
- Strong interpersonal skills and the ability to build professional relationships
- Professional attitude and combined with tact and diplomacy when working with confidential information
- Superior written and verbal communication skills
- Degree or diploma in a related field is an asset
