Location: Remote or in-person at one of Oceans North’s offices (Halifax, NS, Ottawa, ON, or Winnipeg, MB). Ability to work on Eastern Standard Time a must.
Overview: Oceans North is an environmental charity that supports marine conservation and ocean-climate action in partnership with Indigenous and coastal communities across Canada, Western Greenland, and the High Seas.
We are currently seeking a Senior Administrative Assistant to join our growing team. This essential role supports the leadership team and works closely with our finance and operations staff. The ideal candidate is positive, dependable, and efficient, with strong organizational and interpersonal skills and an interest in environmental issues.
The successful applicant will work under the supervision of the Executive Director and the Executive Committee.
Responsibilities:
- Managing executives’ schedules and booking meetings
- Coordinating travel plans for executive team, staff, and partners, as required
- Proofreading and editing drafts of reports, emails, and other work for the executive team
- Supporting grant reporting and tracking
- Assisting with special projects as needed
- Other duties as assigned
- Developing and maintaining organized and accurate records, updating databases, calendars, and other files
- Screening general organizational email inquiries, responding to emails as appropriate
- Making arrangements for campaign and organizational events
- Supporting fundraising and reporting efforts as needed
Experience & Skills:
- Proficiency in MS Office
- Ability to exercise discretion and manage sensitive information
- Knowledge of office management systems and procedures
- 5+ years of administrative experience
- Strong organisational and planning skills
- Excellent written and verbal communication skills
- Proficiency in French or any dialect of Inuktitut a plus
- Experience working with Indigenous people and/or small coastal communities, an asset but not required
- Excellent time management skills and ability to multi-task and prioritise work
- Attention to detail and problem solving skills
Education:
- High School Diploma or GED equivalent
- Completed Diploma in Office Administration (or relevant study) considered an asset
Compensation:
- Commensurate with experience.
