We are currently looking for a Senior Administrative Assistant to be the newest member of Gescan to take their career to the next level and join the Calgary team.

In this role you will be responsible for providing confidential administrative support to the assigned region’s designated President. To support and assist Senior Regional Managers and mentor and guide staff in the administrative process.
Major Responsibilities:
- Support for National Charity initiative
- Arranging travel and making reservations for President and selected Senior Managers.
- Processing confidential documents for President and other confidential correspondence, documents, spreadsheets for senior management and other staff
- Customer contact data management
- Organize meetings, appointments, conference calls, and general day to day activities
- Design and Prepare formal and informal communications for Associates for President
- Planning and Coordination of special events such as general meetings, customer contests (logistics and reporting) contests, holiday party, etc. and support for larger event
- Preparing and maintaining filing system for President and assisting in processing other correspondence, etc.
- Utilizing PowerPoint, Excel, Word, SharePoint, database management
- Formal and informal communication with vendors on behalf of President
- Ensuring website and global address book are updated on an as needed basis.
- Creating, drafting, and preparing reports, presentations, financial information, summaries, minutes, replies to inquiries, selecting relevant information from a variety of sources such as reports, financials, documents, correspondence etc.
- Promotional reporting and analytics
- Managing President’s Outlook Calendar and Travel schedule
- Other duties as required.
- Assisting staff with office procedure/guidelines, supply maintenance etc.
- Assisting and backing up administrative staff and reception when required.
Requirements:
- Experience with CRM's preferred.
- High School Diploma required.
- Post secondary diploma or certification in office administration.
- Advance skills in Microsoft Office including PowerBi required.
- 3-5 years of related business and/or administrative support experience.
