We are seeking an experienced and dynamic Office Manager to join our client’s team. As the Office Manager, you will play a pivotal role in ensuring the smooth day-to-day operations of our client's firm, working closely with our COO and co-Managing Partners. • Proven experience in office management, ideally in a legal or professional services environment.
• Strong leadership skills and the ability to effectively manage a diverse team.
• Excellent organizational and communication skills, with the ability to multitask and prioritize in a fast-paced environment.
• A high level of professionalism and the ability to maintain strict confidentiality.
What you'll do:
• Collaborate with the administrative team to prioritize tasks, allocate resources, and facilitate seamless communication within the firm.
• Serve as a liaison between the firm and external vendors, including building management, to maintain productive relationships.
• Coordinate office facilities' functions, overseeing equipment management, service contracts, and major purchases/leases.
• Identify and communicate policy and procedure priorities, driving compliance and efficiency.
• Lead and manage the office administration team, legal assistants, and clerks, with responsibilities including HR processes, hiring/exit interviews, training, and performance reviews.
• Maintain banking relationships, liaise with consultants and vendors, and ensure compliance with relevant laws and regulations.
• Assist with accounting functions, such as reconciliations, financial statements, and HST remittance.
• Support property management activities, including off-site records management.
• Collaborate with our IT Specialist to develop and implement technology plans, policies, and training programs.
• Manage telecommunication systems, oversee the help desk operations, and ensure smooth IT operations.
• Champion exceptional client services and contribute to marketing efforts by managing client and prospect databases.
• Support co-managing partners in various management activities, including finance, recruitment, marketing, and personnel matters.
