Legal Administrator

Pay Rate: Range
Duration: 6 month contract
Location: Hybrid – Based in Toronto, Ontario
Your New Company
Reporting to the Supervisor, Office Administration, the Administrator is responsible for providing timely administrative support to multiple Directors/Managers and the day-to-day activities within the Operation groups. The Incumbent is expected to behave ethically and follow the established code of business conduct, policies and internal control procedures, laws and regulations governing . Successful candidates must possess the following competencies and will be pre-screened for those marked with a , prior to the interview portion of the selection process. Competencies are listed in order of significance.
Your New Role
- Administrative support to the Lead, Legal Services, Commercial on major projects including records management, audit requirements, electronic data room, compliance site, disclosure committee and policy administration.
- Assist with the MCRS programs associated with the Legal Department inclusive of updating and tracking MCRS activities.
- Invoice processing for the Legal Department using Ellipse accounting system.
- Co-ordinates divisional projects including project tracking, co-ordination with participants and reporting.
- Liaise with business units, third parties and customers on various legal matters.
- Organize meetings and other business functions.
- Preparing and revising various legal documents, forms, reports, letters, memoranda, charts and other confidential correspondence.
- Administrative support for the Director, Legal Services and Corporate Secretary with corporate governance and Board matters including the preparation of relevant documents, presentations and maintenance of minutes, charters and reports.
- Administrative assistance to the Manager, Commercial Law on commercial files and major projects.
- Receives incoming correspondence and inquiries on behalf of the Regulatory Affairs Departments, acting as the main point of contact for the input/output of documentation.
- Maintaining the Legal Department central files of contracts and memoranda and updating the database of contracts.
What You’ll Need to Succeed
- Three (3) years of administrative experience, preferably in an operational and/or utility environment.
- Actively listens using open and probing questions and summarizes to confirm understanding.
- University degree in Business Administration or related field ✓ One (1)
- Ensures accuracy of work and keeps records and documentation up to date; follow-up on activities, processes and procedures when supporting others.
- Gathers relevant information systematically and considers a broad range of issues or factors before reaching a decision.
- Exercises discretion for organizational, employee and client confidentiality.
- Highly proficient in the Microsoft Suite applications (PowerPoint, Excel, Word) with a strong knowledge in the use and functionality of Outlook.
- Enhances quality of work by eliminating unnecessary work and seeks to simplify processes.
- Demonstrates self-motivation; proactively anticipates others’ needs, finds innovative and creative solutions to solve problems and gets work don with little direction.
