Posting Summary
Rutgers, The State University of New Jersey, is seeking an Executive Manager for the Institute for Health.
The Executive Manager is a key member of the Office of the Director and is responsible for the management and coordination of all functions and activities of the Director’s office. Provides a broad range of administrative, organizational, and functional activities and assists the Director on internal and external activities that pertain to the Institute’s mission. Provides direction for the Director’s strategic planning initiatives, manages the staff on day-to-day operations ensuring efficiency and effectiveness and optimizing the use of available resources, recruitment, supervision, and evaluation of support staff. Serves as an advisor to the Director while working closely with the Institute’s leadership and acting as a liaison to many offices across the University. Monitors linkages with Deans, Center/Institute Directors and senior administrative officers, including the Chancellor of RBHS , to ensure responsiveness. Provides oversight for projects supporting the Director’s agenda to ensure that all are effectively moving according to plan objectives and established milestones and measurement criteria.
Among the key duties of this position are the following:
  • Working closely with the relevant home departments/schools, manages all administrative aspects of IFH faculty appointments, reappointments & promotions.
  • Provides principal management support to the Director and assures the seamless functioning and running of the Director’s Office, and oversight of the Office of the Director’s administrative staff. Manages access to the Director by identifying the objectives of the individuals the Director should be meeting with and ensure that the Director is fully prepared for these meetings. Participates in key constituent meetings to ensure appropriate and responsive follow-up and accountability. Assesses and prioritize matters needing the Director’s intervention and will be expected to be a strategic partner to the Director in all Institute initiatives.
  • Oversees and directs a broad range of high-level projects including strategic planning, program development, implementation, and coordination of selected program/project initiatives; monitors staff and ensures progress in Director’s-initiated activities. Responsible for monitoring the Director’s Office expenses and developing budgets for project/special initiative funding in coordination with the Office of Business and Finance (working closely with IFH CFO ).
  • At least two (2) years of experience shall have been in a managerial or supervisory capacity.
  • Collaborates closely with the IFH Chief Financial Officer to create/review Faculty Business Plans.
  • Minimum of five (5) years of progressively more responsible related professional and/or academic administrative experience.
  • Works with home schools and the RBHS Vice Chancellor for Academic Affairs to review and create new processes for appointment reviews, reappointments, promotions and tenure for faculty based in IFH .
  • Master’s Degree in Public Health, Social Science, Business Administration, Education Administration, Healthcare Administration or other relevant field.
  • Works directly with RBHS Faculty Affairs to problem solve high level faculty issues within the Institute, including the management of all aspects of labor relation faculty-related matters.
Certifications/Licenses
  • Valid driver’s license.

  • Ability to manage operations, including budgets and staff, project management.
  • Excellent organizational, problem solving, strong research, writing and presentation skills.
  • Ability to communicate sensitive information verbally and in writing to individuals at all levels.
  • Ability to work well with all levels within the organization, including school/university officials, faculty, staff, and students with diplomacy.
  • Ability to function in a team environment.
  • Computer literate with proficiency and working knowledge of database and reporting tools including Microsoft Word, Excel, Access and PowerPoint.
  • Flexible regarding work hours in order to accommodate the demands of the Director’s Office.
  • Must have executive maturity and sensitive human relations skills.
  • Develop, implement, and interpret policies and procedures.
  • Excellent communication skills, both written and oral.
