Job Description

TASKS

The undernoted services may include, but are not limited to the following:

a)Works with project team, managers, executive director and other team members on project deliverables;

b)Manage and maintain Master Project Schedule (in MS Project), cost and scope for SuccessFactors to ensure interdependencies are identified and project is delivered on time and on budget on time;

c)Report risks and deviations that will or have the potential to impact the Project Schedule to the Project Authority;

d)Advise on mitigation or resolution plans to minimize project risks and deviations as they arise;

e)Formulate statements of problems; established procedures for the development and implementation of significant, new or modified project elements to solve these problems, and obtain approval thereof;

f)Leads and supports the preparation of project status reports and dashboards on an ongoing basis;

g)Works collaboratively with the project team to provide guidance, knowledge transfer and project management oversight of major project deliverables and processes;

h)Attends and/or leads various project team meetings on as required basis;

i)Prepares, develops and/or supports the development of various project artefacts (e.g., plans, charts, tables, diagrams and presentations when required;

j)Leads and prepares plans, charts, tables and diagrams to assist in analyzing or identifying problems/issues leveraging with a variety of project management tools;

k)Provides oversight on all project deliverables in support of the Executive Director;

l)Leads regular meetings with project management to discuss issues and project progress.



DELIVERABLES

Deliverables may include but are not limited to the following:

a)Gap assessment on project and recommendations for escalation and decision;

b)Oversight on all project artefacts prior to review/approval by Executive Director;

c)The resource must provide input into the dashboard for the project using the EPMO approved template in the format of MS Word and MS Excel on a weekly, monthly and ad hoc basis.

d)The resource must update and maintain the project schedule or provide leadership to the project team on the project plan (using MS Project) on a bi-weekly basis;

e)The resource must update and maintain the risk, issue and change request logs using MS Word and MS Excel on a monthly basis and provide leadership to the project team on the definition of issues/risks.

f)The resource must complete and update presentations and supporting documents;

g)The resource must develop project briefing material (e.g., project plans) for executive level governance committees, and present at these committees if requested;

h)Progress Reports provided weekly to the executive director (as directed) in the prescribed format;

i)Convene and participate in stakeholder meetings held regularly with management and working-level stakeholders to gather business requirements, guide change management and implementation activities;

j)Develops and/or leads plans, charts, tables, diagrams, dashboards and other reports presenting the status of the project, as needed; and

k)Leadership and knowledge transfer to project team resources;

All deliverables are due based on the timelines as outlined in the project schedule in the standard format followed by department Project Management and/or as defined by the Project Authority or their delegate.

WORK LOCATION

The Contractor’s resource must be willing to adopt a flexible work arrangement, which may include one or more of the following:

·Working on premises in the National Capital Region (NCR)

·Colocation / Shared office spaces

·Working remotely (on the contractor’s premises, the resources domicile, or another approved remote location)

The department will provide a laptop, email, and systems access. The resource is expected to provide his/her own telephone capability.
