Position Description:


CPA Ontario is currently in search of a Conferences and Events Specialist who will report to the Conferences and Events Manager and be responsible for executing the plans for 5 to 7 annual conferences, 2 annual convocations, other high-profile annual events, as well as day-to-day support of the Conferences and Events Manager.


Major Responsibilities:


Events (100%)


  • Support on-site delegate inquiries and requirements
  • Lead and facilitate planning meetings with internal and external stakeholders, including members, colleagues, advisory boards and external 3rd party vendors
  • Create and manage event plans, including finalizing vendor requirements such as venue, speakers, and other suppliers
  • Collaborate with marketing and communications teams to develop marketing strategies
  • Manage supplier Requests for Proposal and contract execution
  • Manage the collection of presentations and biographies and the printing of materials, including the delivery process for program materials executed by the Conferences and Events Coordinator
  • Conduct research (and leverage research conducted by the Conferences and Events Coordinator) to suggest event topics and themes, taking into account industry trends, for acquiring conference content that enhances the event and educational experience
  • Create agendas for and facilitate event execution meetings and post-event concluding meetings with various stakeholders including members, colleagues within other departments, and external partners
  • Ensure event database is accurate, consulting member records as needed
  • Conduct budget variance analysis
  • Manage the on-site requirements of the event
  • Extract event and delegate data for analysis
  • Work with the Director, Member Events and the Conferences and Events Manager to manage and execute successful events, including conferences, student convocations and other special events
  • Coordinate and summarize evaluation responses
  • Process event invoices, coding to the appropriate General Ledger accounts and inputting into the budget template
  • Manage on site requirements for conferences and events
  • Coordinate event registration, both online and on-site
  • Create and send out evaluation surveys
  • Source event speakers in alignment with event content plan
  • Other duties as assigned by Director, Member Events as required
  • Working with the Marketing and Communications team, create event agendas and brochures, to ensure appropriate branding and messaging


Qualification Requirements:


  • Prior experience data mining and conducting data analysis is required
  • Proven ability to multi-task and change priorities quickly is required
  • Excellent interpersonal, relationship-building, negotiating and communication (verbal and written) skills required.
  • Proficiency in Microsoft Office applications, including Word, Outlook, PowerPoint and Excel (spreadsheets, pivot tables, vlook-ups, macros) required
  • Previous experience with Cvent and registration programs is an asset
  • Prior experience or familiarity with the Accounting industry, associations, not-for-profits and educational/academic organizations is highly preferred
  • Successful completion of an undergraduate degree or diploma is required; successful completion of the Certified Meeting Professional (CMP) designation is an asset
  • Experience in conducting research and integrating information from various sources is required
  • Excellent time management and organization skills required, along with the ability to work in a fast-paced environment and handle multiple projects concurrently while meeting all deadlines
  • Minimum 5 years of Event and/or Conference planning experience is required which includes but is not limited to, experience in managing, planning and conducting meetings as well as experience in pre-event, on-site, and post-event execution
  • Strong attention to accuracy and detail and quality control skills required
  • Proven ability to work in a collaborative team environment is required
  • Must have the flexibility to work outside of regular business hours (early morning, evenings, nights and/or weekends) if/when required
  • Strong client service orientation, a professional approach and excellent decision-making and judgment skills required
