The Internal Event Specialist will assist with internal employee event campaigns across all areas of the bank in order to build employee engagement and delivering events that drive a sense of belonging, inclusiveness, and pride in the bank. As part of the Internal Events team, they will be responsible for providing organizational and operational support in the development and execution of a wide variety of event projects, both in-person and digital. This role will have the opportunity to participate in special assignments and projects to enhance personal development and promote career growth.
The Work
  • Assists with managing the Employee News mailbox, including responding to inquiries and sending invitations.
  • Develops event specific organizational tools such as itineraries, event schedules and guest lists.
  • Maintains current information in corporate databases for business contacts, department-specific databases, relevant sponsors and vendor lists.
  • Creates proposals, contracts and invoices for internal clients, sponsors and vendors.
  • Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations.
  • Provides research support and completes tasks required for event execution.
  • 1. Administration - 80 %
  • 2. Event Coordination - 20 %
  • Organize inventory of backdrops, projectors, computers, and other display materials
  • Liaise with Equitable Bank Facilities team where required.
  • Research venue, attend site visits, negotiate and secure event space.
  • Assists with gathering and compiling outstanding supporting documents related to events, such as post-event Q&As, follow-up surveys, and more.
  • Schedule speakers, vendors, and participants.
  • Maintains accurate and up‐to‐date records and files for all event management projects.
  • Visit venue to plan layout of seating, décor, and A/V requirements.
  • Coordinates marketing requests for printed materials, brochures, signage, swag and other marketing pieces.

  • Intermediate/strong knowledge of Microsoft Office including Word, PowerPoint and Excel, as well as Office 365 tools like Microsoft Teams
  • Event or hospitality certification is required
  • Excellent communication skills.
  • 1 to 2 years of events planning experience is required

The incumbent will be working hybrid and in office time will be spent working from Equitable Bank’s additional office space located at 351 King Street East, Toronto, ON.
