Role Overview:
Our Toronto office is seeking a Regional Events Specialist in our Business Development & Marketing Department, reporting to the Events Manager. As a Regional Events Specialist you'll play a pivotal role in shaping our firm's presence through meticulously executed events that leave a lasting impact. The ideal candidate is a career-oriented self-starter with a desire to grow and a willingness to take on more responsibility with time.
The successful candidate will be responsible for:
Internal Event Planning
- Effectively manage and reconcile event budget for various internal summer and holiday parties; create themes, invitations, guest lists and coordinate venue, food and drink menus, vendors, transportation, place cards and agendas where required
- Assist in leading and managing internal committee and affinity group events, and assist in managing the budget for these activities
- Work with the firm’s Graphic Design function to draft various event print and electronic materials and coordinating the process for electronic invitations and communications
- Execute events and seminars end-to-end, including, but not limited to, planning, budget management, logistics, tracking, creative components, event onsite support, and post-event reporting ensuring logistics are executed seamlessly
- Research new event opportunities and venues (virtual and in-person)
- Coordinate with the Office Services and Facilities functions as needed for AV, boardrooms, catering
- Establish and manage vendor relationships, acting as point of contact
- Support the Manager, Events with the development and execution of larger Firm Events, retreats, and annual Firm Partners’ Meetings
- Create proposals containing various event options upon request
- Lead and manage summer and articling student events, where required
- Coordinate purchase of special event give-aways and prizes
- Manage calendar invites, RSVP reminders, and ensure the overall quality and accuracy of event invitation lists
- Coordinate with event contractors and vendors
Related Administrative Support
- Coordinate in conjunction with the HR function occasional firm wide events such as diversity events, staff appreciation and charitable initiatives within budget
- Receive and distribute funds raised for charitable initiatives
- Act as Lead Coordinator of the firm’s United Way Committee; organize and lead committee meetings; create and manage the activity calendar; oversee the events, event earnings and distribution of tax receipts
Branded Merchandise
- Sourcing new/repeat branded merchandise for the marketing store and for conferences or other ad hoc requests from industry and practice teams
- Managing selected departmental administrative systems and procedures, including promotional items inventory and firm’s online marketing store
- Source gifts for internal groups or clients upon request
The successful candidate must have the following education, experience and/or demonstrated skills:
- Ability to handle high pressure situations calmly
- Ability to manage budget effectively and efficiently
- Strong attention to detail
- Strong interpersonal and communication skills, able to follow instructions from a diverse group of lawyers and staff, and provide information with ordinary courtesy and tact
- Strong writing skills with the ability to write targeted internal and external communications material with minimal oversight
- Excellent knowledge of the Toronto market in relation to restaurants and hospitality venues
- Proactive self-starter and strategic thinker who can take ownership of their responsibilities and see them through with minimal oversight – this is a hands-on role that requires strategic thinking and tactical execution
- Works well in a team environment and independently
- Deliver top-tier events with precision, adhering to timelines and budgets.
- Bring five (5) or more years of progressive event planning and/or marketing experience.
- Highly organized, superior time management skills with an ability to juggle multiple deadlines
- Law firm exposure is highly desirable; professional services background will be considered.
