Internal Events Specialist Jobs

Maintains accurate and up‐to‐date records and files for all event management projects.

Visit venue to plan layout of seating, décor, and A/V requirements.

Event or hospitality certification is required

1 to 2 years of events planning experience is required

Responsible for the planning & implementation of City of Brampton special events, festivals and corporate programs.

Attend and ensure the seamless execution of assigned events. Assist in event set-up and takedown, address and resolve issues.

Collaborate with the Senior Events Specialists in the planning and execution of City events as required.

Assist and support the Festivals and Special Events team.

Assist Strategic Communications with the planning, delivery and communication strategies related to special events, festivals and corporate programs.

Highly organized, superior time management skills with an ability to juggle multiple deadlines

The successful candidate must have the following education, experience and/or demonstrated skills:

Lead and manage summer and articling student events, where required

Establish and manage vendor relationships, acting as point of contact

Manage calendar invites, RSVP reminders, and ensure the overall quality and accuracy of event invitation lists

Support the Manager, Events with the development and execution of larger Firm Events, retreats, and annual Firm Partners’ Meetings

Working directly with Senior Management on the design and implementation of key controls

Quarterly reporting to Senior Management on control validation progress and insights

Work closely with Management within the Personal Lines and Claims business units to identify and assess top and emerging operational risks

Constructively challenge Management’s mitigating action plans as needed and provide ongoing monitoring over their completion

Insurance industry experience, especially in property and casualty operations, would be an asset

Strong attention to detail and documentation skills

Support Management in fulfillment of sponsor benefits, speaker selection and content preparation

Technical skills in Microsoft Office, Adobe Creative Suite (Photoshop, InDesign, Illustrator, Premiere), MailChimp, social media, WordPress, database management

Coordinate with the Marketing Manager on the creation and design of IBAO branded material

Manage critical path, ensuring deliverables happen on time, on budget

Collaborate with internal teams to deliver exceptional event experiences

Post-secondary education in Marketing, Communications, Public Relations or related discipline

Supervision of marketing projects of all scales and management of strategy, marketing, communication, logistics, finance, legal, and sales-oriented challenges.

Support National Events Manager on overall strategy and execution.

Manage, control, and establish processes around the national event marketing infrastructure assets.

Manage, control, and execute, together with a Field member, all National Small Fire initiative.

Manage and control the execution of key 3rd Party events / partnerships alongside with regional teams.

Extensive knowledge of Canadian and global sporting landscapes and trends.

Proven ability to manage events through their entire lifecycle, from requirements gathering through delivery, on time, with minimal supervision.

Manage inventory of tradeshow assets (including packing, shipping, tracking, etc.).

Source, order, and manage cost-effective tradeshow display materials, giveaways, etc.

Effectively project manage and deliver events on time and within budget.

Experience in managing the logistics surrounding a high volume of shipments internationally.

Strong written and verbal communication skills.

Experience with Articulate 360 eLearning design tools, Learning Management software, and Knowledge Management tools

Facilitate group and individual training, both virtually and in-person, covering technical, operational and customer service skills

Provide in-depth and up-to-date knowledge of relevant procedures, products, best practices, and systems

Post-secondary education in Learning & Development or Adult Education is an asset

3+ years relevant experience in development and delivery of corporative training initiatives

Experience in accounting, business and/or financial administration is an asset

- Supports change management of varying scope and type; tasks typically focused on execution and sustainment activities.

- 3-6 years of experience in risk, audit, compliance, or control testing

- Experience assessing internal operation controls

Experience with Design Effectiveness and Operational Effectiveness

- Strong experience with Microsoft Suite

- Certifications including CIA, CRCM or CISA

A Post-Graduate degree or Diploma in a relevant field or substantial experience in a similar role will be considered.

Proven experience/understanding in internal communications, preferably in a large organization or a multi-facility environment.

Working knowledge of Adobe Creative Suite an asset

Assist in the preparation of reporting to senior management of control deficiencies and status of remediation

Assist management in the maintenance of the risk and control library

Create and manage event plans, including finalizing vendor requirements such as venue, speakers, and other suppliers

Manage on site requirements for conferences and events

Manage the on-site requirements of the event

Prior experience or familiarity with the Accounting industry, associations, not-for-profits and educational/academic organizations is highly preferred

Manage supplier Requests for Proposal and contract execution

Support on-site delegate inquiries and requirements

Undergraduate degree preferred. Major in Education, recreation administration, sport management, leisure studies, physical education, kinesiology, or comparable degree.

Knowledge and a strong background in event management

Manage Marty the Mascot to ensure a successful fan experience.

Experience developing and leading educational sessions.

Other Qualifying Skills And/or Abilities

Collaborate with the children’s programming manager in the planning, supervision, scheduling and delivery of the children’s programs.

4-7 years of progressively responsible experience in stakeholder management, change management, and communications.

Demonstrated experience in managing stakeholders and executing change management activities.

Experience in design, brand development, and project management is a plus.

Certifications such as PROSCI, PMP, or Adult Education are preferred.

Manage the approval process for the timely delivery of communications.

Related university degree and/or professional designation (e.g., Business, Organizational Behaviour, Psychology, Marketing, Communications, or Education).

Must have strong digital/virtual event management experience.

Strong knowledge of virtual event management software, including Microsoft Teams, Zoom, or similar

Handles all negotiations on event spaces, catering, implementation, vendor management, AV, etc., for internal events.

Manage events, from start to finish, ensuring a memorable and inclusive experience for all employees involved, including post-event follow-up.

Have the ability to make presentations to internal clients, senior management and all stakeholders when requested.

5-10 years of experience in event planning for corporate events, with a focus on employee/internal events

STOVA, CVENT, GLOBALMEERT or other event management system knowledge, Salesforce or other CRM user experience required

Contribute to and input into the data management processes designed to realise cost and resource efficiencies and optimise results

Experience of working within the energy industries beneficial including knowledge of competitor/third party events

Working with the Leader of Operations to manage regular budget for senior management reporting

Own and produce your event by event reporting, QTR and YE reporting for senior management
