POSITION SUMMARY

The Catering and Events Coordinator in our Toronto office is responsible for event planning services for the many meetings and events within the firm as well as menu planning and catering ordering. The Catering and Events Coordinator provides exceptional customer service exceeding client expectations.

The hours are generally Monday to Friday from 9am to 5pm with flexibility to work overtime to be on-site during after-hours events.

RESPONSIBILITIES

  • Works with Premises Operations Manager and Hospitality Team Leader to ensure all business needs are met
  • Back-up to Boardroom Bookings and Boardroom Attendants
  • Communicates the details of all catering orders with the Boardroom Attendants
  • Works closely with internal departments and committees on event planning, to include but not limited to internal employee events
  • Other duties as assigned
  • Demonstrates complete understanding of menu items and ensures all orders are correct in terms of dietary restrictions
  • Liaise with internal clients to recommend and organize menus for meetings and events
  • Invoice processing and filing
  • Responsible for coordinating catering orders with outside vendors for lawyer meetings and events
  • Responsible for ordering firm snacks and all hospitality supplies
  • Communicates event set-up requirements with all teams involved
  • Ensures menu signage is prepared for each meeting and/or event
  • Responsible for booking boardroom space for meetings and events
  • Acts as the on-site point of contact during events to ensure a seamless start through finish

REQUIREMENTS

  • Accuracy and attention to detail along with on time consistency are essential in this position
  • Familiarity with Microsoft Office applications, especially Outlook
  • Hospitality and/or Food Service Worker degree or certificate and/or working experience in a corporate hospitality environment is considered a strong asset
  • Familiarity with boardroom bookings program considered an asset
  • Able to work independently with little instruction or supervision
  • Valid Food Handler Certificate also an asset
  • Ability to set priorities, manage multiple tasks and meet frequent deadlines in a very fast-paced environment
  • Demonstrated commitment to privacy and ethical conduct
  • Event experience considered strong asset
  • Excellent client service approach with the desire to learn and be cross-functional
  • Must be flexible and motivated with a can-do attitude, good interpersonal, organizational and communication skills
