We have a great career opportunity for a motivated Operations Manager who is looking for a role where they can make a direct impact on the day-to-day operations, and are interested in joining a growing company, this may be the right opportunity for you! The Operations Manager is responsible for leading our administrative team to effectively provide daily administrative activities to ensure excellence in the provision of administrative support services. The Operations Manager reports to the Senior Director and works collaboratively with the Medical Director, Physicians, Customers, clinical research staff, vendors, and other internal and external contacts as required to define and develop continuous improvements to meet company objectives and high quality of patient care.


Position Description:


  • Onboarding and Offboarding of staff.
  • Ensure adequate admin staffing to facilitate delivery of excellent patient care service.
  • Maintain and order supplies.
  • Review and address questions regarding OHIP billing, RAs and so forth to ensure accuracy and timeliness.
  • Track and review metrics in order to ensure productivity, timeliness, and quality. Adhere to internal administrative and process standards.
  • Manage and organize daily operations including reception desks, doctor’s schedules, and sleep study bookings.
  • Any other administrative oversight duties as assigned.
  • Interact directly with physicians and Administrators to foster and ensure a positive administrative experience for patients and physicians. Interact directly with patients to address any questions that may arise.
  • Interact with patients, colleagues, and physicians professionally and address any questions.
  • Work with the billing team to ensure OHIP billing rejections are promptly addressed and track non-OHIP receivables.
  • Support the roll-out of Administrative processes to ensure they are understood and performed thoroughly. Identify and implement improvements to these processes.
  • This position is full-time and will require someone who can work 40 hours per week;
  • Communicate professionally by phone and email with patients in order to book consultation, follow-up and lab appointments.
  • Coach, motivate, train, and directly oversee a team of Office Administrators. Provide feedback and ensure quality and timeliness of deliverables and a positive patient experience.
  • Administrative duties include utilizing the Electronic Medical Records system and addressing questions patients may have.
  • Ensure all operational reports are completed and submitted in a timely manner.


Skills & Qualifications:


  • Experience with EMR is essential.
  • A professional approach to customer service. Organizational and multitasking skills.
  • A minimum of 2+ years of relevant experience overseeing medical office administration processes and staff in a fast-paced medical office(s).
  • Experience coaching, training, and motivating Administrative team members.
  • Undergraduate degree is a strong asset.
  • Experienced in focusing on quality, accuracy and efficiency of processes and results.
