A Day in the Life…

Reporting to the Manager, IRC, the Library and Media Assistant performs various functions for the Instructional Resource Centre (IRC). The Library and Media Assistant provides versatile expertise, support and customer service in circulation services, reference services, reserves, catalogue records maintenance and administrative functions. The Library and Media Assistant supports the full cycle operations of the IRC.


As the Library and Media Assistant, you will:

  • Gather and input bibliographic records in the Circulation system and process materials for reserve loan categories;
  • Track and recommend resources for purchase (i.e., based on requests, demand, recommendations, missing items, etc.);
  • Retrieve, sort, and deliver daily mail and faxes for Faculty of Education;
  • Provide administrative and customer support at the supply desk and photocopying/scanning services desk;
  • Create various reports;
  • Add, maintain and update user records within the circulation system;
  • Add, maintain, configure and update changes to the Loan Rules table and patron groups, ensuring rules are applied correctly;
  • Conduct opening and closing procedures in the IRC;
  • Revise and correct errors in the non-indexed fields in bibliographic records.
  • Provide customer service and support to users (in-person, by telephone, online databases, and over email);
  • Process and issue bills for lost or damaged resources;
  • Support media production in the absence of the Library and Media Assistant;
  • Perform stack maintenance, including shelving and tidying of library area;
  • Process Inter-Library Loan requests received from the University Library;
  • Audit and count the contents of kits to ensure each kit is complete before discharging and update item record for items that are missing;
  • Assist the Hamilton Campus staff with circulation system concerns; and
  • Provide reference services and knowledgeable guidance to patrons regarding the selection of IRC library materials (i.e., print, non-print, multi-media products, equipment, kits, electronic resources, etc.);
  • Monitor, facilitate and provide guidance in the IRC makerspace program event activities;
  • Sign out a variety of resources and materials to borrowers;
  • Provide IRC Library tours for Teacher Candidates;
  • Administer the addition and removal of alerts/stop-flags in student records database for outstanding fees/bills for the Registrar’s Office;
  • Update the University reserve system periodically throughout the year, providing reserve stats;


What you need to Succeed…

  • Familiarity with Microsoft Office suite products and on-line software;
  • Strong customer service, communication and interpersonal skills;
  • Ability to delegate and train part-time staff;
  • Versatile knowledge in Library operations;
  • Knowledgeable about the Ontario curriculum;
  • Efficient and accurate keyboarding skills;
  • Knowledge of Library of Congress classification system;
  • University degree, college diploma, technical school training, Library Technician, Educational Resource Technician, and/or an equivalent combination of education and experience related to ECE, Kindergarten to Grade 12 school Education;
  • General working knowledge of a specialized ECE, K-12 education curriculum resource centre to successfully support the circulation of resources for student use;
  • Experience working with the integrated library system (Omni);
  • Ability to operate a personal computer, cash register, printer, and photocopier;
  • Excellent problem solving and troubleshooting skills; and
  • Ability to instruct others in related online systems and workflows;
  • Understanding of Copyright laws for processing Reserves;
  • Excellent accuracy and attention to detail.
  • Knowledge of Sentry security system;
  • Familiarity with processing and MARC record cataloguing of a specialized resource collection;
  • Ability to operate media production equipment to produce teaching aides;
  • A minimum of two (2) years experience in a library setting;


Preferred or Asset Skills:

  • The ability to work with children at the kindergarten to Grade 8 level and provide guidance at the IRC Makerspace events.


Salary and Benefit Information

  • This position includes full comprehensive benefits and tuition waiver;
  • OSSTF, Job Grade H, Salary Scale ($41,619-$57,735)*


This position is included in the Ontario Secondary School Teachers' Federation (OSSTF) Union and:

  • New members shall be placed on the salary grid at the entry level.*
  • It is Brock University’s policy to give first consideration to qualified internal Brock University OSSTF applicants.
  • Salary is therefore determined by the OSSTF Collective Agreement.*
