Job Description


Framestore is an Oscar, Bafta, and Emmy award-winning global creative company working in film, advertising, AR/MR/VR, theme park dark rides, and pre/post visualization work among many other creative endeavors.


The Facilities Coordinator is responsible for the overall building efficiencies from a maintenance and operations perspective. This role works closely with the Office Manager to ensure that daily studio operations are at a high standard and coordinates regularly with various departments. Daily responsibilities include, but are not limited to, the maintenance, aesthetics, repairs, safety and security of the studio. This person shares the responsibility for communicating Facility policies of the Montreal Office with the Office Manager and the HR department, and for maintaining Framestore’s branding guidelines for signage. The Facilities Coordinator works in parallel with the Office Manager and under the supervision of the Montreal Head of Facilities.


What You’ll Do


  • Acts as the second point of contact with the building landlord and be available as part of the 24/7 rotating, on-call facilities team for emergencies;
  • Create and implement a preventative maintenance schedule for the facility to ensure the needs of all relevant stakeholders are met;
  • Updates the workplace management software as required and liaises with managers, employees and the Systems department to ensure that all moves are performed in a timely manner, under the supervision of the Head of Facilities;
  • Responsible for the approval, orders, and installation of wall art with the guidance of studio aesthetics stakeholders;
  • Responds to any requests from staff with regard to the environmental state of the studio: lighting, heating, cooling, etc.;
  • Oversees daily and ad hoc maintenance and refurbishment projects as defined by the Head of Facilities;
  • Works with Head of Facilities to ensure that all the relevant Health and Safety and Fire Risk Assessments are carried out at the relevant times, in collaboration with HR;
  • Responsible for approved purchases of furniture and fixtures as required and in accordance with the Facilities Capex Budget;
  • Can be called upon to perform additional tasks, as required by the Head of Facilities.
  • Ensures that Physical Security standards are maintained at all times, including security audits by Framestore clients, managing the security system, and security team;
  • Works alongside the Systems department to ensure that all meeting and vision room installations and technology work effectively at all times;


Job requirements


What We’re Looking For


  • Strong attention to detail, organization, and administration;
  • Proficient computer skills in Windows, Gsuite, MS Office.
  • An engaging personality with a desire for continuous improvement;
  • A great team player with excellent communication skills and an ability to work with people at all levels within the organization;
  • Experience in preventative maintenance measures with respect to HVAC, mechanical/electrical, environmental health & safety, and/or building automation;
  • Willingness to work on-site full-time, occasionally on-call, early mornings, evenings or weekends;
  • Ability to prioritise workloads and multitask;
  • Flexible, adaptable and reliable. Personable and friendly attitude with a strong desire to succeed;
  • Bilingualism with excellent writing skills in both French and English;
  • Hands-on approach to make a positive contribution to the internal client experience at Framestore;
  • 3-5 years experience in a Facilities technician or maintenance role;
