Term

Full Time (70 hours every 2 weeks – under a new work life balance model – Week 1: 40 hours / Week 2: 30 hours) - Until March 31 2024, with the possibility of a long-term extension

Location

Remote Canada – Reliable & Stable Internet Required

Compensation

This position offers a starting annual salary of $52,000, 3 weeks’ vacation (to start), a benefits allowance (in lieu of a benefits package), other allowances/subsidies, possible year-end bonuses, a diverse and inclusive work environment, professional development opportunities, extra paid days, remote work option, flexible schedule, and the potential for further advancement within the organisation. Travel across Canada may be required for this position.

Fierté Canada Pride (FCP) is the national association of Canadian Pride organisers. We are

a membership-based organisation, governed by a volunteer Board of Directors. The main

goal of FCP is to promote 2SLGBTQIA+ Prides and communities on a national level.


FCP’s mission is to strengthen Pride organisations and 2SLGBTQIA+ communities through

elevating equity-denied and global majority peoples, practising reconciliation in action,

collaborating intentionally, building capacity, and advocating for systemic change.

Summary

The Operations Coordinator is responsible for supporting the administrative and operational

needs of Fierté Canada Pride, including operational responsibilities, regular communications

tasks, membership support needs, working closely with and providing assistance to the

Executive Director as well as providing support to the whole FCP Team.


Administration & Coordination

  • Responsible for day-to-day email correspondence for FCP from the general mailbox, and forward relevant correspondence to the appropriate FCP team member.
  • Provide administrative support for FCP’s major events and activities, including but not limited to the Annual Conference and AGM.
  • Support in arranging necessary travel arrangements for organisation staff and other relevant stakeholders.
  • Assist upon request from the Executive Director with drafting letters to external stakeholders.
  • Assist in the development, management, and updating of documents and templates for ED, Board, and Committee meetings.
  • Provides support in managing IT and infrastructure systems and processes (such as Google Workspace) for all FCP team members.
  • Coordinate and plan regular staff meetings.
  • Provide support with regards to advocacy and executive correspondence.
  • Complete research tasks as assigned by the Executive Director.
  • Formulate agendas and take minutes and notes at relevant meetings, upon request.
  • Coordinate the logistics of meetings, appointments and other relevant activities for the Executive Director as well as the whole FCP Team if so required.
  • Maintain and organise all digital files and documents related to the organisation.

Membership Support

  • Maintain and update membership list.
  • Host regular member networking events online and any other events that may be required.
  • Assist with invoicing and membership renewals.
  • Send member-specific communications when required.
  • Promote membership events online through communications responsibilities.
  • Point-person to communicate with FCP members and support membership needs.
  • Direct member enquiries to the appropriate FCP individuals.


General

  • Maintain communication with the entire FCP team on all organisational channels, including Slack, email and other tools as deemed necessary.
  • Maintain positive working relationships with members, community groups and other 2SLGBTQIA+ agencies.
  • Attend any regular staff, committee, and working group meetings. Attendance at other organisational meetings may be required to provide administrative support.

  • Respond to inquiries in a timely manner, both internally and externally.
  • Support in initiating, organising, and fulfilling general organisational work as required and requested. This may include but is not limited to administrative tasks, membership efforts, fund development goals, strategic planning, and any organisational guidelines and procedures.


Communications Responsibilities

  • Support FCP in all aspects of its advertising, marketing, and brand management as required.
  • Maintain a social media calendar and post to all channels on a consistent basis using social media management software.
  • Create graphic and text content for all of FCP’s social media channels.
  • Consider issues of social justice, anti-racism, intersectional feminism, and other forms of systemic discrimination throughout all of our work.
  • Create graphic and text content for FCP’s monthly newsletter and send on schedule.
  • Support regular and timely updates to FCP’s website as requested by FCP’s Communications Team. This may include graphic and layout tasks.
  • Support the Executive Director in preparing, writing, editing, and reviewing written communications for multiple platforms in English and ideally in French as well.
  • Coordinate content creation and production schedule around campaigns, project activities, and events.
  • Translate, proofread, and edit content in English and ideally in French.


Qualifications

●Post-Secondary Education in social sciences, university-level academic or professional training in office management, women’s and gender studies, public policy, business, non-profit management, communications or a related area. Work and life experience will be considered as well.

●2+ years of direct work experience as an Administrative Assistant, Office Admin Assistant, or similar role. Knowledge of standard office management systems and procedures will be an asset.

●Dynamic, creative thinker with strong planning and execution skills with an attention to detail and time management.

●Fluent in English with excellent written and oral communication skills.

●Ideal candidates will have a professional working knowledge of French.

Strong knowledge, use, and administration of various software platforms, including Slack and all aspects of Google Workspace.

●Exemplary organisational skills as well as problem identification and resolution skills with a flexibility to adjust to shifting priorities and tight deadlines.

●Ability to create and edit project documents, materials, and presentations.

●Initiative-driven with an ability to prioritise work independently while also being a team member, establishing and maintaining positive working relationships with staff, contractors, partners, members, and volunteers.

●Experience in a non-profit organisation and/or knowledge and experience working with 2SLGBTQIA+ communities.

●Genuine interest and passion in human rights, policy, and advocacy and a commitment to supporting and amplifying FCP’s Mission, Vision, and Values.

●Though not required for this position, experience with QuickBooks and/or an understanding of bookkeeping or with tracking finances is an asset.
