About Ajah
Ajah is a technology social enterprise based in Montreal, Canada, that builds tools and services for the nonprofit sector. We focus on using and generating open and public data to help funders and nonprofits inform their programs and strategies. We also apply our unique expertise to systems-level issues and projects related to data and information in the nonprofit sector.
Ajah’s founders have been at the forefront of community technology for the last fifteen years. We have been internationally recognized leaders in the field of community wireless internet access, and open data for the nonprofit sector. Over the past decade, we have been invited to speak and advise on these areas across North America and Europe. In 2013, Ajah’s founders created the nonprofit initiative Powered by Data to help the nonprofit sector build open, shared data infrastructure through research, policy, and open government.
About the position
As our Consulting Operations Coordinator, you will act as a trusted partner to the COO. Your role is critical to the success of the operations department, and the smooth functioning of the organization in both short-term, day-to-day and long-term, strategic goals. Areas you will be involved in include business development, project coordination, operations and communications. You will help the COO to plan, maintain and execute strategic operations to meet company objectives, including improvement upon the tools, materials, approaches and standards we currently have as well as supporting the development of new partnerships and projects. You will coordinate senior staff in their business and partnership development work and serve as a support for proposal writing and development.
In addition, you will provide executive assistance to the COO by supporting him with daily tasks such as email, calendar, and task management - always ensuring that his work and priorities are organized. In addition, you will play a key role in the success of our projects by working with the COO to improve how our consulting engagements are run and secure new business opportunities.

We are still in a phase of rapid growth/expansion - this means there is lots of room to take initiative, create new systems, and improve old ones. It also means that we are looking for someone who is flexible and can confidently manage their own tasks.
You are interested in the work that we do, and excited to learn more about our approach and practice. We seek to make the nonprofit sector more equitable and effective for its beneficiaries through technology and data and want to work with people equally excited about our mission.
This is a learning position. The Consulting Operations Coordinator is expected to rapidly learn and incorporate new skills, and advance rapidly in the company if successful to independently lead projects.
Responsibilities
Consulting operations (35%)
- Work on the overall coordination and management of the many projects that the organization runs.
- Play a Project Coordinator role in a handful of smaller consulting projects as needed.
- Manage the administrative tasks in our consulting operations, such as the coordination of our project tracker, making decisions about how to resource projects effectively, and forecasting staffing needs.
- Develop and maintain contracting and invoicing processes (making sure documents are filed in Google Drive after contracts are signed, etc.).
Business development (35%)
- With guidance from the COO, generate reports, insights, and metrics to make decisions about the business development process and adjust course as necessary.
- Coordinate and attend/facilitate internal business development meetings and activities.
- Support the COO with the creation of proposals, scopes of work and other relevant documents.
- Being responsible for the high-level functioning of our business development and partnerships function with guidance from senior management.
- Coordinate with the COO on incoming business opportunities and ensure thorough follow-ups.
- Coordinate communications and marketing initiatives, including the creation and posting of blog posts and other social media materials.
- Maintain the implemented business development process at Ajah for all senior staff, and orient new senior staff to the system as applicable.
Business Administration (30%)
- Daily email, calendar, and task management support for the COO.
- Coordinate the COO’s speaking engagements and handle associated business travel arrangements. This includes occasionally booking flights and hotel accommodations.
- Assist the COO with financial tracking and expense reporting and collaborate with other ops staff to reconcile finances.
Requirements
- Passions for systems, technology, data, and sectoral issues in the nonprofit sphere are an asset.
- Minimum of 1-3 years of relevant experience - we are especially interested in candidates who have previously worked in project coordination, the nonprofit sector, or operations.
- Must be able to legally work in Canada.
- Experience in a startup/growth environment (fast-paced, rapid growth) preferred.
- Able to work from the Montreal office with the COO.
- We welcome candidates who are neurodivergent or who have ADHD.
- Strong written and verbal communication skills.
- Strong knowledge of office/productivity tools (such as GSuite, Zoom, and Asana).
- We are looking for someone who has held a position that required some degree of responsibility and ownership. We understand that this might not correlate with a managerial title, and we encourage you to elaborate on your experience in your cover letter.
