The Bidding Coordinator is responsible for supporting Executive Producers in the bidding process at Scanline. This role involves coordinating and facilitating the preparation of bidding meetings, bids and bid submissions. This role requires excellent organizational, communication, and project management skills, as well as attention to detail and the ability to work in a fast-paced environment.

Key Responsibilities

• Gather and maintain a database of client bid materials, reference, comprehensive notes through the lifecycle of the bidding process for clean handover to production team
• Provide support for post-bid activities, such as debriefs, feedback analysis, and lessons learned, to continuously improve the bidding process
• Ensure compliance with company policies, procedures, and quality standards throughout the bidding process
• Coordinate and manage the entire new project bidding process, from initial project request to bid submission. This includes client kick off meetings, gathering inputs from various department creatives and preparing a draft bid for Executive Producer reviews.

QUALIFICATIONS & EXPERIENCE

• Attention to detail and ability to work under tight deadlines and pressure
• Ability to adapt to changing requirements and priorities in a dynamic business environment
• Bachelor's degree in business administration, marketing, communications, or a related field
• Knowledge of bidding best practices, proposal development methodologies, and project management principles
• Proficiency in MS Office applications, including Word, Excel, and PowerPoint
• Strong organizational skills with the ability to manage multiple bids concurrently
• Familiarity with relevant industries, markets, and customers to understand their needs and preferences
• Ability to work collaboratively and cross-functionally with internal teams and external stakeholders
• Excellent written and verbal communication skills, with the ability to draft and edit bid documents for clarity
• Proven experience in bid coordination, proposal development, or related roles
