The Facilities Coordinator provides administrative support and leads the department accounting activities. The candidate chosen will be in a technological work environment and will report to the Facilities Manager.
- Performance of various related tasks when required
- Reconciliation of purchases made with the department’s corporate credit cards
- Participation in the development and implementation of administrative tools and procedures to improve the efficiency of the department’s activities
- Issuing of general communications and emails
- Approval and monitoring of various monthly bills
- Management of various applications for permits/renewals of certificates (use authorization certificates, insurance certificates etc.)
- Preparation of forms (new supplier and reciprocal confidentiality agreements)
- Filing of documents, compilation and updating of data in the department’s SharePoint
- Ordering of certain equipment
- Support and assistance for the facilities team members in the Province of Québec and outside Québec
- Monitoring of the bill payment process consisting in the creation of new suppliers, purchase requisitions and purchase orders
- Monitoring of costs related to the various department projects
- Updating of data with the facilities and project management software (Smartsheet)
- Assistance for the management team of construction and renovation projects
- Problem resolution, identification of the causes and reporting to his or her superior in cases that exceed his or her level of responsibility
- Management of service or warranty calls when required
- Ability to work in Microsoft Office suite (Outlook, Word, Excel, PowerPoint)
- Understanding of accounting processes and procedures
- Excellent ability to communicate in oral and written French and English
- Ability to progress in a fast-changing environment and perform tasks on time
- Capacity to be proactive and resourceful
- Ability to work autonomously and as part of a team
- Skilled in learning new software
- Work experience in supporting the management of construction projects
- Knowledge of construction methods and processes (facilities, techniques, materials, standards)

- Classement de documents, compilation et mise à jour de données dans le SharePoint du département
- Mise à jour de données avec les logiciels immobilier et gestion de projet (Smartsheet)
- Réconciliation des achats effectués avec les cartes de crédit corporatives du département
- Assistance à l’équipe de gestion des projets de construction et de rénovation
- Approbation et suivi de diverses factures mensuelles
- Prise en charge des diverses demandes de permis/renouvellements de certificats (certificat d’autorisation d’usage, certificat d’assurance)
- Suivi des coûts liés aux différents projets du département
- Support et assistance auprès des membres de l’équipe des ressources immobilières de la province de Québec et hors province
- Réalisation de diverses tâches connexes lorsque requis
- Capacité à progresser dans un milieu en évolution rapide et à exécuter des tâches dans les délais impartis
- Excellentes aptitudes à communiquer en français et en anglais, à l’oral comme à l’écrit
- Aptitude à agir par anticipation et débrouillardise
- Habilité à pouvoir apprendre de nouveaux logiciels
- Compréhension du processus et des termes du processus comptable
- Capacité à travailler avec la suite Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Capacité à travailler avec autonomie et aussi en équipe
- Connaissance des méthodes et processus de construction (équipements, techniques, matériaux, normes)
- Expérience d’emploi au support à la gestion de projets de construction
