The Opportunity:


Reporting to the Director of Indigenous Engagement, The Office of VP External Relations is looking to hire a permanent Administrative Assistant to join their team.


The successful candidate will provide administrative support to the Director of Indigenous Engagement and also be a part of external relations activities within the department. This includes day to day operations, assisting with meeting coordination and planning, project reporting and other support duties. The incumbent will liaise with a variety of SAIT staff and foster solid and productive relationships with relevant stakeholders.


Competencies required for this position are not limited to strong communication skills, time management and organizational skills, with an ability to work independently and as part of a team.


The Role


  • Demonstrate respect for all individuals with a solid understating of Equity, Diversity and Inclusion at SAIT
  • Preparing and routing client correspondence; preparing documents, reports and templates us MS Office Suite
  • Assist in arranging culturally appropriate meetings and events, set up rooms, arrange support documents, and take meeting minutes as needed
  • Review documents, reports, ad prepare correspondence for format, content, grammar and spelling and make edits as necessary to ensure professional presentation as well as create personalized proposals for various projects
  • Complete travel booking and reconcile credit card statements, invoices, or other financial reports
  • Assist with event planning such as booking event spaces and meeting rooms, coordinating attendees, ordering food and beverages and any necessary supplies
  • Additional duties as required
  • Act as a first point of contact to a high volume of email and phone inquiries to ensure questions are answered in a timely and accurate manner, triaging requests to the appropriate individual when necessary
  • Expectation of a commitment to intercultural communication with an emphasis on Indigenous Knowledge and Ways of Knowing
  • Provide administrative support directly to the Director of Indigenous Engagement


Qualifications & Experience


  • Familiarity with Indigenous culture, ways of knowing and living; Truth and Reconciliation will be considered a strong asset
  • 5 years professional experience in a related role. A combination of education and experience will be considered
  • Diploma in a related discipline (e.g., Administrative Information Management)


Skills Required


  • Willingness to provide support and coverage to other executive support staff, as required
  • Knowledge of records information management and Microsoft Office
  • Ability to work independently, superior work ethics and professional accountability
  • Excellent Customer relations skills
  • Adaptable with excellent prioritization and time management skills in a changing environment
  • Knowledge of Administrative Policies and Procedures and general business operations
  • Ability to act as a gatekeeper and escalate relevant information to Executives as required
  • Strong attention to detail with high accuracy
  • Analytical with ability to use good judgement in problem solving and making well informed decisions
  • Demonstrated ability to effectively and efficiently communicate with a large number of stakeholders verbally and in writing
  • Experience with developing spreadsheets in Excel, PowerPoint
  • Ability to communicate complex ideas and topics effectively – both verbally and in writing
  • Ability to maintain positive attitude in a fast-paced environment
  • A high degree of integrity and professionalism
