POSITION TITLE: Member Engagement Assistant


REPORTS TO: Manager, Member Engagement


POSITION SUMMARY:

Reporting to the Manager, Member Engagement the Member Engagement Assistant is responsible for supporting professional development initiatives, liaising with Chapter volunteers, supporting logistics of in-person and virtual events, student events, and the CPHR Alberta Annual Hybrid Conference. This role supports a wide range of projects and activities to advance the strategic goals of CPHR Alberta. This Calgary based position is a full-time hybrid role, with a 37.5 hour condensed work week, and a regular Friday afternoon office closure.


POSITION RESPONSIBILITIES:

  • Carry out administrative duties for the Member Engagement team as required.
  • Oversee the CPHR Alberta Volunteer Program, including recruitment of new volunteers, reviewing applications, monitoring the volunteer inbox/inquiries, processing volunteer expenditures, and recognizing volunteers across the province.
  • Support the team with the logistical components of the CPHR Alberta Annual Hybrid Conference.
  • Maintain documentation and records of previous and current projects.
  • Organize member engagement activities as requested, including event registration using our Customer Relationship Management (CRM) system, coordinating event logistics, administering member surveys, sending pre and post event communications, and tracking and reporting of in-person and virtual events.
  • Assist the Member Engagement Coordinator to connect with Chapter Committee volunteers and create a sense of community and inclusion. Provide guidance and support for events across the province, including preparing and sending communications.
  • Help with the coordination of the annual Excellence Awards program.
  • Support implementation of a variety of post-secondary initiatives, including sponsorship for events, and the annual HRC West Case Competition.
  • Represent CPHR Alberta as required at events.
  • Coordinate and build the set up of virtual events for partner webinars, working with external stakeholders, and using CPHR Alberta’s CRM system.
  • Work closely with the Marketing & Communications team to promote events. Monitor event registration levels and adjust promotion efforts as required.


The ideal candidate is a strong team player who excels at building relationships and who enjoys collaborating with other team members. Prior experience using CRM systems, coordinating volunteers, and multitasking on multiple projects and initiatives is desired. This position requires strong attention to detail, flexibility and adaptability, and the proven ability to meet commitments. This is a fast-paced role with opportunities for creativity and learning.


SKILLS:

  • Strong attention to detail with a demonstrated ability to use sound judgment when fielding questions and speaking on behalf of the organization with stakeholders.
  • Flexibility to work some early mornings, evenings, and weekends upon request
  • Excellent written and verbal communication skills for internal and external communications.
  • Able to take initiative, be proactive, and creative in problem-solving.
  • Organized, detail-oriented, strong time management skills, and able to plan and organize work with multiple demands and deadlines.
  • Proficient in using MS Office with prior experience using a CRM (ACGI) and Survey Monkey are considered an asset.
  • Customer-service orientated, able to build relationships, and maintain records and schedules.
  • A positive attitude, high energy, enthusiasm, and proven ability to engage and motivate others through positive leadership.
  • A self-starter who can work independently, while collaborating with a team. Must demonstrate the ability to adapt to change.


QUALIFICATIONS:

  • A minimum of two years’ related experience is required.
  • Post-secondary education in a related field like Event Management, Business Administration, or Volunteer Management.
  • Experience with event planning and coordination of volunteers is an asset.
  • Prior customer service experience is preferred.
  • Exposure to the HR field is an asset.
  • Non-profit experience is desired.
