The Alberta Association of Immigrant Serving Agencies (AAISA) is a non-profit umbrella organization representing agencies that provide resettlement, settlement, and integration services to newcomers in the province of Alberta. Since 1980, we have been working to build the sector’s capacity to better serve newcomers by fostering collaboration, professionalization, and member-driven research and policy work.
Through AAISA’s Engagement work, staff undertake activities to develop a collaborative system in the settlement and integration sector in Alberta. The position of Engagement Officer supports the advancement of a portfolio of projects within the team’s overarching engagement strategy.The Engagement Officer works to provide backbone support to initiatives that convene diverse stakeholders to facilitate collaborative solutions to shared issues. In taking on wide ranging tasks and activities, this position is integral to advancing Engagement initiatives and projects, including playing a leading role in some specific projects.Working collaboratively with all members of the Engagement, Research, and Policy (ERP) unit, the Engagement Officer actively strengthens the assets of the team and provides support where needed based on shifting conditions.
ROLES AND RESPONSIBILITIES
Engagement Initiative Support
- Support the Engagement, Research, and Policy team in all aspects of meeting planning, hosting, and follow-up
- Plan logistical aspects of meetings, conferences, and events
- Send follow-up materials and action items after meetings
- Support in the recruitment of wide-ranging stakeholders and undertake activities to ensure active participation, including distributing meeting invitations, tracking RSVPs, and providing meeting materials to participants
- Play a leading role in specific engagement initiatives and teleconference meetings, including some facilitation, materials development, and other tasks required
- Take meeting minutes
Project Duties
- Create, maintain, and update resources and tools to support agencies to build capacity on AAISA’s Toolkit
- Contribute to Engagement projects, through tasks such as background research and writing materials as needed
- Engage in data collection as required by specific projects
Knowledge Management and Communications
- Maintain and organize contact lists in AAISA’s contact databasein collaboration with the business development team.
- Maintain and organizeERP’s shared drives OTHER DUTIES
Other Duties
- Occasional travel required
- Perform related duties as assigned by the Engagement Coordinatorand/or Manager
- Coordinate travel arrangements and bookings for ERP staff and meeting participants
- Organize and track the Engagement, Research and Policy teams purchase requests and invoices
- Support the Engagement Coordinator and the Manager, Engagement & Policy with administrative tasks, meeting coordination, and organizational activities
QUALIFICATIONS
- Remote work experience is an asset
- Experience working with SurveyMonkey, CRMs, Zoom, Canva, and the Microsoft Office Suite including Excel and SharePoint
- Personable with strong relationship building skills
- Adaptive and responsive in a dynamic work environment and with shifting priorities
- Familiarity and/or experience with the settlement and integration sector as well as Canada’s immigration system is anasset
- Excellent written and verbal communication skills
- Post-secondary education in a related field
- Strong project management skills, including the ability to manage timelines
- Experience working in the non-profit sector is an asset
- Ability to work independently, while being a collaborative and communicative team member
- Highly motivated individual able to take initiative while maintaining alignment with team and organizational objectives
