Our open-pit mine and concentrator in Voisey’s Bay – Vale’s only fly-in/fly-out operation in Canada – produces nickel-cobalt-copper concentrate and copper concentrate. An underground expansion will see a transition to a leading edge underground mine extending the life of the mine until 2034. Our state-of the-art facility in Long Harbour is the first nickel processing plant in the world to use hydrometallurgy technology to produce Plating Rounds TM from hard rock (sulphide) concentrate, with low carbon footprint compared to traditional smelter technology. A team of employees across the province provide support to the Newfoundland and Labrador Operations.


The Opportunity


We are currently seeking an Administrative Assistant III to support our Vale Newfoundland & Labrador Leadership Team. This is a fixed term (1 year) position based at the St. John’s, NL Office. This position will require travel to both the Long Harbour and Voisey’s Bay Operations as needed.


The successful candidate will provide administration assistance to our Head of Newfoundland & Labrador Operations. On a day-to-day basis, this role will involve scheduling/organizing meetings, booking domestic and international travel, visa requirements, vacation scheduling, filing, typing, mail/file distribution, invoice management, and maintaining contact with operational sites and other business locations across Canada. In this position, you will carry out the following duties:


  • Effectively communicate with senior-level internal and external contacts and be exposed to confidential data.
  • Organize and prepare complex documents requiring the integration of multiple office technologies and software applications such as Word, Excel, PowerBI, etc.
  • Coordinate and maintain the Executive's correspondence and records, following up on pending matters with limited direction.
  • Draft correspondence for Executive's final approval.
  • Transcribe dictation of a highly technical and confidential nature.
  • Work independently with only general guidance on special projects.
  • Provide and obtain information from other managers, directors, and outside representatives.
  • Process invoices for payment into the SAP system and maintain invoice filing system. Ensure prompt payment to suppliers with agreed upon timelines while resolving any issues that may arise.
  • Complete travel arrangements, such as: flights, car rentals, and hotel bookings.
  • Assist in the budget process by consolidating information and monitoring spend throughout the year.
  • Prepare sophisticated reports, and assist with gathering, summarizing, and analyzing data.
  • Schedule appointments and coordinate arrangements for meetings and conferences.
  • Receive and screen telephone calls, letters, and/or visitors, answering routine questions, and acquiring and providing information to save executive's time.


About You


Education :


  • Post-Secondary Degree or Diploma in Administration or Business Studies.


Experience :


  • 5 to 7 years of proven experience in a similar role.


Skills :


  • Proven understanding of the importance of maintaining a high level of confidentiality.
  • Exceptional organizational skills.
  • Outstanding digital literacy in Microsoft Office (Outlook, Word, Excel, and Power Point) is required.
  • Able to work collaboratively within a team environment across multiple locations.
  • Self-motivation and ability to complete work with minimal direction.
  • Knowledge of SAP is considered an asset.
