Luke’s Place is an award-winning centre of excellence in family law support for women who have been subjected to intimate partner violence. We provide legal support services and summary legal services to hundreds of women and their children across Ontario every year and share our expertise with thousands of service providers.
Luke’s Place conducts research to understand the impact of legal and related systems and processes on women’s lives. We engage in advocacy to share these findings and improve these systems and processes. Luke’s Place envisions a family law system that promotes healthy, safe families, living free from abuse and the threat of abuse.
Description
Luke’s Place is seeking a full-time Administrative Coordinator, with a minimum of 2 to 3 years of experience, to provide professional support to the delivery of its innovative programs and services to women who have been subjected to intimate partner abuse.
This role is integral to supporting our Direct Services and Knowledge Mobilization programs. This role is based out of our Oshawa, Ontario office and requires an onsite (in person) presence. The Administrative Coordinator position provides lots of opportunity to affect the organization’s impact and reach. We are looking for someone who likes to manage and prioritize many individual tasks, as well as communicate professionally and effectively.
Key Responsibilities:
·Front Desk Coverage; receive, support and direct clients and visitors;
·Leading or supporting effective communications within internal teams and with our clients and stakeholders;
·Maintain electronic and hard copy filing system;
·Coordination and tracking of volunteer schedules and liaise with volunteers for same;
·General facilities support: maintain and order office supplies, photocopying, scheduling meetings, mail distribution, data entry;
·Coordinate meetings, both internally and externally, including preparing agendas, reserving meetings rooms, sending invitations and ensuring all necessary resources are available for the event;
·Attend and take minutes for program meetings;
·Support with the coordination of training and conference event logistics;
·Troubleshoot and support staff IT concerns;
·Work collaboratively with the Executive Assistant to deliver coordinated administrative support.
Qualifications:
·Organized and energetic professional with demonstrated experience in providing administrative support;
·Post-secondary diploma in office administration, legal administration or related/equivalent education;
·Understanding of and commitment to a feminist, gender based, intersectional analysis of woman abuse is essential;
·Excellent written and verbal communication skills, attention to detail;
·Exceptional interpersonal skills to interface with volunteers, staff, lawyers, clients and other stakeholders;
·Excellent time management and problem-solving skills and the ability to prioritize work;
·Sound knowledge of office management systems and procedures and working knowledge of office equipment;
·Proficiency in MS Office (MS Excel and MS PowerPoint), SharePoint and Zoom;
·Enjoys working as part of a team as well as independently;
·Meeting or event coordination experience is an asset.
