Maple Reinders is pleased to announce that it has been awarded the contract for the construction of the Royal BC Museum Collections and Research Building in Colwood, (Victoria) BC. The new facility will be an advanced, sustainable, and culturally sensitive building that will serve as a community and learning hub for the region. Once complete, the new facility will house the Royal BC Museum's collections, research departments, learning spaces and the BC Archives. Mass timber construction will be used extensively and the building will meet CleanBC energy efficiency standards, and be LEED Gold Certified
- Assist in the orientation and project onboarding of new personnel.
- Supports the team with other duties as required.
- Maintaining a filing system, taking meeting minutes, process expense reports
- Schedule meetings and assist in calendar management.
- Track progress and productivity rates.
- Compile, develop and submit all project billings to the customer
- Compile, organize and manage project operations & maintenance (O&M) manuals
- Manage the calendar and identification of key correspondence.
- Understand and anticipate priorities and needs of the Project Management Team and provide effective and timely confidential support.
- Support Publications Department for Civil-related pursuits and initiatives, including assisting with preparation of tender documentation.
- Prepare and circulate memos, letters and reports.
- Routine correspondence to Owner, Engineer, Sub-Trades and Suppliers in co-operation with the Project Manager.
- Organize management meetings including event logistics, catering, travel, and meeting materials.
- Assisting with monthly reporting such as Indigenous employee and Apprenticeship reporting
- Exceptional communication skills, both verbal and written
- Experience with submittals, drawing logs and Accounts Payable
- Minimum 5 years’ experience in an administrative support role.
- Able to work under pressure and effective at multitasking
- Detail oriented, with excellent organizational skills
- Valid driver’s license.
- Civil construction experience would be an asset
- Ability to handle multiple projects at the same time with excellent follow-up skills
- A dedicated team player with excellent interpersonal skill
- Ability to use/learn industry specific software programs.
- Experience with Procore or similar software would be an asset
- Proficient in MS Office and Windows-based computer applications (Word, Excel, Outlook, etc.).
- Minimum Grade 12 education.
- Related administrative experience in construction would be an asset
