EAST YORK MEALS ON WHEELS

JOB POSTING: Admin & Finance Coordinator

(Up to 22.5 hours/week, permanent position)

East York Meals on Wheels (EYMOW) is a small, community-based social service agency that provides good food and social support through caring volunteers to enhance the well-being of East York residents. We are searching for a team player with strong organizational and interpersonal skills who is detail-oriented and can multi-task in a small office. This role is designed to support management and the client services team with administrative duties and financial management tasks.

Responsibilities include:

  • Liaise with admin volunteers to schedule and coordinate the end-of-month billing preparation.
  • Collecting, inputting, and electronic filing of donations and associated personal information. This includes managing donations through a donor management system and processing individual receipts.
  • Being the liaison between the bookkeeping team and management team.
  • In collaboration with the Meals on Wheels Coordinator, complete bi-monthly billing processes. This includes processing credit card payments, preparing and issuing a bank deposit, printing and organizing invoices and filing all associated paperwork electronically.
  • Providing customer service follow-up calls to clients, vendors, and community partners.
  • Answering phone calls, monitoring primary EYMOW email, and keeping track of social media channels.
  • Provision of direct administrative assistance and planning support to the Management Team.
  • Maintain office supplies, including placing orders and purchasing items as necessary.
  • Responsible for updating and maintaining information on the website and updating marketing material, including the agency’s monthly newsletter.

Qualifications:

  • Very strong priority and time management skills.
  • Pleasant, professional demeanour and excellent interpersonal skills.
  • Successful completion of a post-secondary program.
  • Experience working with seniors and volunteers is an asset.
  • Experience in and understanding of the not-for-profit sector and culture.
  • Familiarity with Social Media platforms and other online media.
  • Able to work independently and as a member of a team.
  • Experience using accounting software.
  • Valid “G” class driver's license, proof of insurance, and clean driving record.
  • Excellent command of English, with effective oral and written communication skills.
  • 2-3 years of financial management experience.
  • High degree of computer literacy with superior Microsoft Office skills, particularly Word and Excel, and strong technical ability.
