Job Overview

• Daily review outstanding tasks to prioritize items for resolution.
• Manage incoming correspondence and action as appropriate. Work with other areas within Supply Chain including Accounts Payable, Master Data, E-procurement, Contract Team, Central Requisition Team
• Analyze new issues to determine what action is required to resolve.
• Self-manage workload and priorities to meet monthly commitments and objectives within predefined time lines.

Job Accountabilities

• Initiate corrective changes to Requisitioners' Orders where necessary
• Provide feedback into the preparation of recommendations and process improvements for consideration by leadership
• Follow-up on Purchase Orders with exhausted funding
• Perform other duties as required.
• Prioritize escalations from internal/external sources and recommend solution or alternatives. Escalate to Team Lead in a timely manner if required
• Investigate delays in invoice approvals and/or receipting and escalate any trends or recurring issues found to functional leadership
• Investigate pricing and quantity issues on invoices and/or PO and escalate any trends or recurring issues found to functional leadership
• Continue to work on "open" items to resolution within required KPI’s whilst adding new issues/tasks on a daily basis
• Assist with any issues pertaining to the delivery of daily operations and guide business users on the relevant Supply Chain tools, eProcurement technologies and standardized processes
• Act as a liaison between lines of business (LOB), vendors and internal teams to resolve closed accounting, non-payment, e-invoice issues etc. by using a communication channel consistent with the purchasing agreement or contract
• Process and maintain records, which may include documentation and filing
• Determine if an amendment is justified to vendor payment terms within established standards
• Reconcile unresolved invoices, debit/credit memos
• Verify payment accuracy and/or potential duplicates
• Investigate and resolve processing errors/issues and escalate any trends or recurring issues found to functional leadership
• Prioritize and perform daily customer service tasks including:
• Guide/cross train colleagues on the methods and procedures, system and tools
• Prepare accurate and timely standard correspondence and reporting as requested by Supply Chain leadership. This would involve extracting and compiling data in an established template format

Selection Criteria

• Requires contact with various internal and external personnel to work with them to co-operate on matters of mutual concern or interest.
• Requires a extensive communication skills to understand written procedures and to effectively communicate with suppliers, internal Supply Chain team and line of business
• Requires close attention throughout the day while performing most duties with the occasional prolonged period of extensive concentration when analyzing more difficult issues/problems.
• Requires experience in a customer service environment, with strong communication skills, both written and oral, to effectively manage variety of requests and activities. Requires experience in performing general administrative duties. Requires experience in SAP, and other business software, such as excel, power point and word.
• Requires a good knowledge of business practices as they relate to Supply Chain, customer service, expediting, accounts payable and requisitions, includes knowledge of computerized databases for inputting and extracting data. Requires knowledge of accounting sufficient to review, monitor and process receipts and invoices.
• Most of the work problems are normally resolved by applying established standards, procedures, practices and routines. However, some issues will require using some judgment based skills using demonstrable and defensible rationale.
