We collaboratively provide a restful, warm and refreshing environment for persons suffering from trauma, anxiety, concussion and chronic pain.
Ideally, you have excellent oral and written communication skills and organisational skills to help our therapists provide that transformational care.
The Office Coordinator ensures that our clinic runs smoothly. You manage office communications, and monitor a range of administrative tasks, including tasks to be delegated to other administrative staff. You report directly to and collaborate with the owners of BiTS as Director of HR & Clinical Supervision and Director of Finance & Technology.
Roles & Responsibilities:
- Collaborating with Office Assistants for effective client communications, routine clerical/reception tasks, product inventory and float room maintenance.
- Managing website edits, design company online courses, company marketing, advertising, and media relations.
- Monitoring facility supplies, computers & systems needed for effective daily operations.
- Supporting therapists in various administrative tasks.
- Hiring, training, and managing admin staff.
- Monitoring office expenditures & service relationships.
- Managing BiTS Learning Circle project.
- On-boarding new admin staff and therapists.
- Collaborating with Bookkeeper for managing client and insurance billings, payroll, etc.
- Collaborating with director of HR/Clinical Supervision to network with community partners.
- Health & Safety officer duties, including logistics with WorkSafeBC.
- Providing brief reporting to assist owners in management of the business.
Qualifications:
- Diploma, degree or other certificates in HR/Medical Office Assistant/ Business Administration
- Ability to work professionally: independently with initiative & collaboratively with team members.
- Proficiency in intermediate computer skills.
- Workplace experience with website design, or social media marketing an asset.
- Occupational First Aid training an asset.
- The successful candidate will be required to provide a Criminal Records Check for Vulnerable Sectors prior to employment.
- Exceptional empathic communication skills to connect with team members & clients of vulnerable sectors.
- Experience in a client service role, preferably in a health services field.
- Strong organisational abilities to manage multiple appointment schedules and administrative tasks.
